We invite you to apply for the Client Delivery Specialist position in our Chicago office, working onsite 2‑3 days per week.
Job Responsibilities:
Strategic Workflow Ownership
- Manages full lifecycle workflow for assigned attorneys.
- Proactively anticipates attorneys’ needs, manages priorities and resolves administrative challenges with minimal supervision.
- Coordinates and tracks ongoing projects to ensure deadlines are met; monitors milestones; updates status reports; communicates progress; and assists with project plans, timelines and resource allocation.
- Handles special projects and other duties as assigned to support attorney practice efficiency.
- Effectively uses workflow management software to log and manage workflow.
Conflicts, NBI & Engagement Process Leadership
- Prepares and processes new matter forms, requests conflict checks and opens new files.
- Coordinates intake and engagement processes, maintains documentation and reduces repetitive attorney involvement.
Billing, Collections & Financial Coordination
- Assists attorneys with tracking and monitoring alternative fee arrangements.
- Assists attorneys with automation, tracking and monitoring of matter budgets.
- Partners with the billing team to oversee time entry, billing inquiries and collections.
Client & Cross‑Functional Coordination
- Coordinates client communications, manages sensitive information and serves as liaison between attorneys, clients and internal departments.
Email & Administrative Optimization
- Manages attorneys’ inboxes, prioritizes and flags urgent communications, drafts, reviews and responds to emails and organizes correspondence for easy retrieval.
- Provides general administrative support: maintains attorney contacts; tracks CLE and membership requirements.
- Operates office equipment (PCs, printers, phones, copiers, facsimiles).
- Conducts all business confidentially and remains calm under pressure.
- Reviews and routes incoming mail and faxes; prepares and processes outgoing communications; arranges specialized services as required.
- Assists with attorneys’ calendars, meeting arrangements, travel arrangements and itinerary preparation.
Document & Matter Management
- Prepares, edits, formats and proofreads legal documents, correspondence and presentations accurately; manages version control, file organization and secure document storage; and facilitates execution, filing and distribution of legal documents.
- Types, transcribes, revises and proofreads legal documents accurately; prioritizes assignments; and meets specific deadlines.
Practice Alignment & Institutional Knowledge
- Demonstrates proficiency in the assigned Practice Specialty Center.
- Takes personal responsibility for exchanging information, documenting workflows for coverage and sharing training tips.
- Shows effective teamwork and communication with team members and all firm personnel; participates in regular team meetings.
- Delegates tasks to other teams as appropriate to ensure coverage, timely completion and quality control.
Technology, AI & Upskilling
- Identifies opportunities for process improvements.
- Leverages automation and dashboards to improve tracking, organization and execution of work.
- Participates in applicable AI and technology trainings to maintain proficiency.
- Researches emerging tools and best practices and recommends process improvements.
Position Requirements
- Bachelor’s degree with major coursework in a related field or equivalent experience.
- 5+ years of relevant experience providing comprehensive support to organizational leadership, preferably in a professional services environment.
- 3+ years of relevant legal assistance experience.
- Advanced proficiency in Microsoft Office Suite.
