Staff Assistant
This position is open to the public and all current City employees covered under the City's collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) – BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Under direction, assists in the performance of specialized administrative support duties, and develops and implements management methods to improve organizational performance; and performs related duties as required.
Essential duties include:
- Central point of contact for Deputy Commissioner.
- Ensure daily communication including manage phone, coordinate calendar, schedule meetings.
- Provide administrative support and manage assigned tasks and special projects/initiatives associated with the program administration of DFSS Children's Services and other divisional programs.
- Provide technical assistance and support to staff and contracted agencies, and other program partners for DFSS Children's Services and other assigned programs and services.
- Convene, coordinate, and facilitate meetings and other communications with contracted agencies and other partners, as needed to resolve operational issues, share best practices, and improve program performance.
- Review and compile program reports, including monthly reports from staff, contracted agencies, identifying trends, informing program operations, and ensuring accuracy of data.
- Maintain centers' property inventories.
- Create program promotion flyers, documents and brochures.
- Follow-up on work order requests from the children's services division and escalate critical issues.
- Assist with Citywide Special Events and Activities.
- Perform other duties and fulfill additional responsibilities as needed.

Minimum qualifications:
Graduation from an accredited college or university with a Bachelor's degree or higher in Business Administration, Public Administration or a related field, plus one (1) year of administrative experience. Should the above criteria not be fulfilled, the following options are acceptable:
Five (5) years of administrative work experience Or Graduation from an accredited college with an Associate's degree in Business Administration, Public Administration or a directly related field, plus three (3) years of administrative work experience.
Selection requirements:
This position requires applicants to complete an interview which will include a skills assessment test as part of the interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral and written parts of the interview will be selected. Preference will be given to candidates possessing the following:
- Previous experience in budgeting and financial management
- Previous experience coordinating and/or managing special projects and initiatives.
- Previous experience documenting status and outputs of projects and processes
- Proficient in Microsoft Office, Canva, Adobe Suites
- Previous experience analyzing and reporting on detailed program performance data and information.
