The Senior Administrative Assistant will provide high‑level administrative, operational, and coordination support to the Head of Operations and the Head of Global CSPR (Credit, Surety & Political Risk) within the Global Reinsurance organization. This role serves as a critical enabler for senior leadership, ensuring the smooth execution of day‑to‑day activities so leaders and their teams can focus on strategic priorities. The ideal candidate is an experienced, highly organized, and service‑oriented professional who thrives in a fast‑paced, complex financial services environment.

This individual is comfortable working independently with limited supervision, exercises sound judgment, and demonstrates a high degree of professionalism, discretion, and respect for confidentiality. A proactive mindset, strong relationship‑building skills, and a commitment to continuous improvement are essential for success in this role.

Responsibilities
  • Provide comprehensive administrative and operational support to the Head of Operations and Head of Global CSPR, enabling efficient day‑to‑day execution and supporting strategic priorities.
  • Communicate professionally and effectively with internal and external constituents, including client‑facing interactions as required.
  • Manage complex calendars, meetings, and appointments, applying appropriate prioritization and judgment to resolve scheduling conflicts.
  • Coordinate domestic and international travel in an efficient and cost‑conscious manner; prepare and submit expense reports in compliance with company policy.
  • Deliver exceptional customer service and build strong working relationships across Global Reinsurance, CSPR, underwriting, operations, finance, actuarial, and broader enterprise teams.
  • Demonstrate a mature and sophisticated approach to information security, data privacy, and confidentiality, with a clear understanding of differing confidentiality requirements by role and situation.
  • Prepare, edit, and maintain presentation materials; produce ad hoc reports and support special projects, including outlining project needs, coordinating with multiple stakeholders, and compiling information for leadership review.
  • Maintain and manage tracking tools for budgets, projects, events, and key deliverables; prepare summary updates and reports as needed.
  • Initiate timely and professional responses to emails, voicemails, and written correspondence on behalf of leaders, as appropriate.
  • Support internal and external meetings and events (onsite, offsite, and virtual), including vendor coordination, invitations and RSVPs, agenda planning, meeting materials, welcome gifts, transportation, and budget tracking.
  • Partner with leaders to establish event budgets and ensure activities remain within approved spend expectations.
  • Leverage available technology and tools to improve administrative efficiency and effectiveness, with openness to learning and adopting new systems or processes.
  • Participate as a collaborative team member within the Global Reinsurance administrative community and contribute to broader administrative initiatives as needed.
Qualifications
  • Minimum of 5 years of experience providing administrative or executive‑level support.
  • Insurance experience preferred.
  • Bachelor’s or associate degree preferred, but not required.
  • Excellent customer service, written and verbal communication, planning, and organizational skills.
  • Strong technology proficiency; advanced user of Microsoft 365 (Excel, PowerPoint, Word), One Note, Workday, and Travel & Expense applications.
  • High level of initiative; self‑starter who is motivated, self‑directed, and effective in a fast‑paced environment.
  • Strong attention to detail and quality; able to manage multiple assignments simultaneously.
  • Proven ability to prioritize work, manage competing deadlines, and support multiple leaders effectively.
  • Ability to exercise independent judgment, escalating only complex or exceptional issues.
  • High standards of professionalism, integrity, discretion, and respect for others.
Work Schedule

This role will have a Hybrid work schedule, with the expectation of working in the Chicago, IL office 4 days a week (Monday through Thursday).

Compensation

Base pay range: $69,200 - $103,800.
