We are seeking a highly organized and service-oriented Office Coordinator to support the daily operations of our workplace and enhance the overall employee experience. This role is essential in maintaining a professional, welcoming, and efficient office environment while supporting leadership and coordinating engagement initiatives and events.

Key Responsibilities Office Operations
  • Manage office supplies and ensure work spaces remain organized and well‑stocked
  • Coordinate with cleaning services and external vendors
  • Handle mail distribution and coordination
  • Answer and direct incoming phone calls
  • Maintain welcome screens and office monitors
Employee Engagement & Recognition
  • Coordinate birthday celebrations, sympathy cards, and employee milestones
  • Manage service awards and recognition programs
  • Support administration of company scholarship programs
  • Assist in planning company events (e.g., team gatherings, BBQs)
Meetings & Events Coordination
  • Organize meetings, lunches, and off‑site events
  • Support coordination for VIP guests and visitors
Executive & Administrative Support
  • Provide administrative support to HR and leadership
  • Act as a go‑to resource for general office and employee needs
Qualifications
  • Minimum 2 years of experience in office coordination, administrative support, or a similar role
  • Strong organizational and time management skills
  • High attention to detail with the ability to maintain structured systems
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • Ability to handle confidential information with discretion
  • Bilingual (Spanish) preferred
