Job Summary
The Temporary Events Associate provides administrative and programmatic support to the Chicago Booth Office of Advancement Events Team. This position is expected to last six months.
Responsibilities- Assist the Office of Advancement Events Team with short-term, long-term, and ad hoc projects.
- Support in-person, virtual, and hybrid events.
- Learn the online event registration system, Cvent.
- Assist in organizing event planning meetings including reserving space, updating and distributing meeting agendas, notes, and other materials.
- Support event logistics including ordering, packing, and shipping event supplies and printing materials such as nametags, briefings, and registration lists.
- Provide onsite assistance at events, as requested.
- Utilize Phoenix, the alumni database of record, to look up, track, and report on event related data.
- Create basic event briefings and event-related communications.
- Support the Events Team with invoices and vendor payments, expenses, and budget tracking.
- Provide pre-event in-office support.
- Other administrative duties as required.
- Outstanding verbal and written communications with an attention to grammar and spelling, and presentation skills.
- Excellent time management, organizational skills, attention to detail, basic math, and finance skills.
- Work independently, possess personal accountability, and a self-motivated disposition.
- Handle multiple detailed tasks/projects simultaneously and meet strict deadlines with frequent interruptions.
- Professional demeanor, including tact, discretion, and a customer service-oriented approach.
- Bachelor’s degree required.
- A minimum of one year of event support and coordination experience preferred.
- High proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required.
- Proficiency working with event registration platform Cvent preferred.
- Familiarity with Salesforce preferred.
Physical Requirements
- This position is currently expected to work a minimum three days per week in the office.
- Some evening and weekend hours may be required, with advance notice.
