Position: Senior Administrative Assistant I

The successful candidate will support 4–6 leaders, managing priorities and delivering high‑quality administrative and operational support. The role performs a variety of administrative and clerical tasks, financial and human resources administration and provides professional support to one or more Managers and their direct reports. It ensures all administrative and operational processes and control standards are followed while seeking to determine, develop, and participate in the implementation of improvement opportunities, contributing to the effective and efficient operation of the business group.

Responsibilities
  • Provides subject matter expertise and advice related to assigned strategic initiatives and acts as relationship manager for assigned initiatives.
  • Builds effective relationships with internal and external stakeholders.
  • Breaks down strategic problems and analyzes data to provide insights and recommendations.
  • Gathers and formats data into regular and ad‑hoc reports and dashboards.
  • Leads the planning, coordination and implementation of department events.
  • Provides senior‑level administrative and operational support within a large, diverse team including senior executives.
  • Employs systems (e.g., customized exception reports, tracking reports) to manage information.
  • Integrates information from multiple sources to enable more efficient processes, enhanced analysis, and streamlined reporting.
  • Provides input into the planning and implementation of administrative programs.
  • Coordinates and monitors budgets and reports on results versus budget.
  • Provides coaching and mentoring to junior administrative assistants to develop capability.
  • Manages and monitors calendars, dispatches meeting invitations, books rooms, and arranges resources for smooth meetings.
  • Develops and maintains a filing system; ensures reports, forms, and documentation are readily available.
  • Supports development of tailored messaging, including writing, editing and distributing communications.
  • Dispatches outgoing communications and answers the central phone line, resolving or escalating inquiries.
  • Processes invoices for payment in adherence with documented processes, guidelines and vendor agreements.
  • Prepares and logs departmental expense claims, tracks expenses to stay within budget.
  • Makes travel arrangements for flights, hotels, etc.
  • Liaises with internal units and external vendors on premises and building matters, relocations, office planning and furniture requirements, ensuring minimal interruptions.
  • Maintains supplies inventory, checks stock levels, places and expediates orders, verifies receipt.
  • Ensures vacation and absence scheduling is documented, consistent across employees and identifies conflicts.
  • Coordinates training requirements for staff.
  • Collaborates with stakeholders to deliver on business objectives.
  • Organizes work information ensuring accuracy and completeness.
  • Focus may be on a business or group.
  • Thinks creatively and proposes new solutions.
  • Exercises judgment to identify, diagnose, and solve problems within given rules.
  • Works mostly independently.
  • Broader work or accountabilities may be assigned as needed.
  • Takes measured risks while protecting the bank by applying the Risk Management Framework and Risk Culture, making sound, risk‑informed decisions that align with business strategy and applicable laws and policies.
Qualifications
  • Typically 7+ years of relevant experience in an administrative or professional support function, demonstrating progressive responsibility and a post‑secondary degree in a related field.
  • Specialized knowledge from education and/or business experience.
  • Verbal and written communication skills – in depth.
  • Collaboration and team skills – in depth.
  • Analytical and problem‑solving skills – in depth.
  • Influence skills – in depth.
Compensation

Salary: $45,000.00 – $83,000.00

Pay Type:

Salaried
