Our client, a national non-profit public health association, seeks an Operations and Contract Administrator to join their team! The ideal candidate will have experience with high-level stakeholder communication, contract lifecycle management (CLM), and operations support.
Responsibilities- Initiate and facilitate the purchase requisition process for customary goods & services across the organization.
- Ensure that proper internal control procedures are being adhered to as it relates to requisitions for specific departments, i.e., Finance, IT, HR Operations, and other areas as required.
- Review incoming contracts for standards compliance, completeness, and accuracy via the CLM system. Work closely with the Senior Financial Analyst to manage the CLM workflow that leads to quick turnaround times.
- Provides budget consultation and recommends changes to assist leaders in leveraging funds.
- Review and complete budget assessments with managers on an as needed basis.
- Responsible for the coordination of meetings and events on behalf of Leadership.
- Manage the process and administrative support for the production and appropriate delivery of meeting and committee materials as directed.
- Work closely with SVP Office to ensure that all reports and meeting documentation are completed, reviewed, and approved.
- Provide archive support for all department and committee meeting documents.
- Minimum 5+ years senior level administrative assistance experience or comparable experience required.
- Experience with Contract Lifecycle Management (CLM) software required;
Ironclad experience is a plus. - Experience in contract review and/or management.
- Exceptional verbal and written communication skills.
- Demonstrated ability to prioritize work assignments, multi-task and adapt to changing priorities
- Demonstrated maturity and ability to properly handle confidential materials.
- Experience with developing and managing budgets.
- Excellent organizational skills.
- Excellent interpersonal skills, to interact effectively with members, board, and all levels of leadership.
- Demonstrated ability to coordinate staff to accomplish work and timely completion of projects.
- Demonstrated proficiency in Microsoft Word, PowerPoint and Excel required.
