About the Role
We are seeking a highly motivated, organized, and AI-native Virtual Executive Assistant to provide direct support to senior leadership across multiple business initiatives, strategic projects, and stakeholder groups. This role is ideal for someone early in their career who thrives in a fast-paced environment, enjoys solving complex problems, and is eager to leverage technology and AI to improve workflows and execution.
As a trusted partner to leadership, you will help manage daily operations, coordinate communications, streamline processes, and ensure priorities stay on track. You will gain exposure to founders, investors, executives, and high-impact projects while developing valuable business and operational experience.
- Manage complex executive calendars across multiple time zones and priorities
- Coordinate domestic and international travel, itineraries, meetings, and logistics
- Support email management, inbox organization, and communication follow-up
- Track projects, deadlines, action items, and executive priorities through dashboards and reporting tools
- Coordinate internal and external communications with stakeholders, clients, and partners
- Organize meetings, prepare agendas, capture notes, and track follow-up actions
- Assist with event planning, invitations, RSVPs, and executive-level gatherings
- Conduct research and prepare summaries, briefing documents, and meeting materials
- Create presentations, one-pagers, and executive-ready documents
- Identify opportunities to automate and improve workflows using AI and technology
Skills & Qualifications
- Executive Support - Strong organizational and time management skills; excellent written and verbal communication; high attention to detail; ability to manage multiple priorities simultaneously; ability to work independently while maintaining discretion and professionalism; comfortable operating in a dynamic, fast-changing environment.
We are specifically looking for candidates who actively leverage AI to improve productivity and decision making.
- Experience with ChatGPT, Claude, or similar AI tools for drafting, research, summarization, and task automation
- Prompt engineering fundamentals to generate accurate and high-quality outputs
- AI-powered research and synthesis for competitive intelligence, executive briefings, and stakeholder back grounding
- Granola or similar AI note-taking tools for meeting summaries and action tracking
- Zoom AI Companion and other AI-enabled meeting tools
- Google Workspace (Docs, Sheets, Drive, Calendar)
- Slack and/or Microsoft Teams
- Hub Spot or similar CRM platforms
- Canva for presentations and visual materials
- Paperless Post, Evite, or similar event management tools
