Responsibilities
- Provide full range of secretarial, administrative, and project support to an executive or team.
- Compose original correspondence and follow up on outstanding items.
- Type, file, copy, record documents, and create presentations.
- Coordinate and prepare accurate reporting of data and information.
- Handle, review, or file contracts, agreements, and confidential documents.
- Manage personal interactions requiring discretion and tact.
- Assist in planning department‑wide or other meetings, including agendas and materials, and take minutes.
- Monitor department/unit budget and explain variances.
- Track progress on larger projects or independently manage smaller projects and initiate follow‑up actions.
- Manage calendar for executive or team, prioritizing schedule items with independent judgment.
- Screen incoming calls, resolve issues, and forward unusual situations as appropriate.
- Coordinate travel arrangements, submit and follow up on expense reports.
- Education:
High School or GED required;
Bachelor’s degree or equivalent experience preferred. - Experience:
Minimum 4 years of related experience. - Technical skills:
Proficiency with MS Office (Outlook, Word, Excel, PowerPoint), internet, intranet. - Abilities:
Prioritize workflow, exercise independent judgment, assess situations, handle confidential information with discretion. - Communication:
Effective diplomatic and communication skills, customer‑service orientation, initiative, adaptability to changing priorities. - Scheduling:
Demonstrated scheduling, meeting/conference coordination, and organizational skills. - Budget/Project Coordination:
Prior experience monitoring and following up on budget and projects.
