Summary

Under broad supervision, perform administrative support to the highest level Claims Leaders. Interact with internal senior management and external business partners, resolving sensitive or confidential issues. Manage travel, coordination of meetings, strategy sessions, and other executive activities while working closely with the Executive Assistant to the CAO.

Responsibilities
  • Proactively anticipate the SVP’s needs, identifying issues before they arise and resolving them independently.
  • Coordinate, handle, and resolve business unit problems and customer issues independently, escalating as appropriate.
  • Provide outstanding customer service, acting with the appropriate sense of urgency.
  • Coordinate special projects for senior management, collaborating with others as needed.
  • Draft, edit, and proofread communications, ensuring tone, clarity, and accuracy reflect the SVP’s style and expectations.
  • Attend meetings, seminars, etc., and record notes or provide information as needed.
  • Manage a complex, dynamic calendar with competing priorities across multiple time zones.
  • Plan, schedule, and coordinate meetings, conferences, travel arrangements, and maintain the executive’s business calendar.
  • Assist executive in the coordination of performance reviews, cost center updates, and other organizational administration activities.
  • Process and submit time entry reports and resolve timekeeping issues with Payroll; may train staff or management on the timekeeping process.
  • Establish and maintain official documents and records in appropriate files.
  • May lead, mentor, and train other staff.
  • Perform additional duties as assigned.
Qualifications & Skills
  • Exceptional written and verbal communication skills, including professional etiquette.
  • Excellent interactive skills with the ability to work independently and proactively.
  • Strong computer skills, including Microsoft Office Suite and other business‑related software systems.
  • Exceptional organizational skills, including ability to prioritize and coordinate multiple projects.
  • Strong knowledge of the insurance industry and the business unit.
Education & Experience

Some college with coursework in Marketing, Business, Accounting, etc., desirable. Typically a minimum five to eight years of strong administrative experience.

Compensation & Location

Base salary range for this role in Chicago or New York is $90,000 to $125,000. Travel is required as appropriate. The position is hybrid.
