Position: Executive Assistant (Chicago, IL)

Position Overview:

Our client, a leading investment management firm, is seeking an experienced Executive Assistant to provide high-level administrative support to multiple senior leaders while helping coordinate office operations and business activities. This role is ideal for a highly organized, proactive professional who thrives in a fast-paced, collaborative environment and exercises sound judgment while handling confidential information.

Responsibilities
  • Manage complex executive calendars, scheduling meetings and prioritizing competing demands.
  • Coordinate internal and external meetings, including conference room reservations, visitor logistics, catering, and meeting materials.
  • Support client and business meeting logistics, including scheduling, preparation, and follow-up.
  • Maintain accurate contact and meeting information within the company's CRM system.
  • Assist with the preparation and distribution of recurring reports, presentations, and other business materials.
  • Coordinate domestic travel arrangements, including flights, hotels, and ground transportation.
  • Process expense reports in a timely and accurate manner.
  • Monitor executive email communications and assist with follow-up as needed.
  • Provide administrative support for department initiatives, special projects, and office events.
  • Perform additional administrative duties to support overall office operations.
Qualifications
  • Bachelor's degree preferred.
  • 3–5 years of executive or administrative support experience.
  • Exceptional organizational and time management skills with the ability to manage multiple priorities.
  • Strong interpersonal, verbal, and written communication skills.
  • High level of professionalism, discretion, and ability to maintain confidentiality.
  • Service-oriented mindset with a proactive, dependable approach.
  • Strong attention to detail and proficiency with Microsoft Outlook, Word, and Excel.
  • Experience with CRM and expense management software is a plus.
  • Ability to work independently while collaborating effectively within a team environment.
