Position Overview:
Our client, a leading investment management firm, is seeking an experienced Executive Assistant to provide high-level administrative support to multiple senior leaders while helping coordinate office operations and business activities. This role is ideal for a highly organized, proactive professional who thrives in a fast-paced, collaborative environment and exercises sound judgment while handling confidential information.
- Manage complex executive calendars, scheduling meetings and prioritizing competing demands.
- Coordinate internal and external meetings, including conference room reservations, visitor logistics, catering, and meeting materials.
- Support client and business meeting logistics, including scheduling, preparation, and follow-up.
- Maintain accurate contact and meeting information within the company's CRM system.
- Assist with the preparation and distribution of recurring reports, presentations, and other business materials.
- Coordinate domestic travel arrangements, including flights, hotels, and ground transportation.
- Process expense reports in a timely and accurate manner.
- Monitor executive email communications and assist with follow-up as needed.
- Provide administrative support for department initiatives, special projects, and office events.
- Perform additional administrative duties to support overall office operations.
- Bachelor's degree preferred.
- 3–5 years of executive or administrative support experience.
- Exceptional organizational and time management skills with the ability to manage multiple priorities.
- Strong interpersonal, verbal, and written communication skills.
- High level of professionalism, discretion, and ability to maintain confidentiality.
- Service-oriented mindset with a proactive, dependable approach.
- Strong attention to detail and proficiency with Microsoft Outlook, Word, and Excel.
- Experience with CRM and expense management software is a plus.
- Ability to work independently while collaborating effectively within a team environment.
