The Clinical Office Specialist (COS) provides platform training & onboarding support to clinic staff, manages the daily workflows of patient interactions, paperwork/document management, and the overall organization of the office. This position also acts as an assistant to the Clinic Director, ensuring smooth operations of the program. Along with receptionist responsibilities, this position will manage the office- including but not limited to ordering supplies, working through billing concerns, collecting co-pays, and ensuring client supplies are fully stocked.
The COS actively supports, promotes, and works within the context of the Mission, Vision and Values associated with Thousand Branches Wellness. This position ensures the office operates efficiently and in compliance with company policies and regulatory standards.
Responsibilities include:
Collaborative communication with coworkers, clients and referral sources Organizing and prioritizing workloads to meet deadlines- able to manage multiple tasks/projects in a fast paced environment Telephone Screening of inquiry calls with appropriate referrals made for any emergency situation and appointments scheduled as appropriate Documentation of all incoming inquiry calls Obtain records/documentation as needed from referring agencies Scan all patient documents into their chart including consent forms, insurance cards, and other intake information Collect co-pays, missed appointment fees, and work through billing issues Implement and manage systems to ensure effective communication with clients, families, referral sources and other relevant entities Crisis Management and Verbal De-escalation Provide support and assistance to clients and guests in the waiting area Manage day-to-day schedule, follow up, appointment confirmation and re-schedule as needed Follow up/respond to incoming calls/emails/fax requests within timelines outlined in policy Other duties as assigned
