The Business/Administrative Associate will ensure organizational effectiveness by providing administrative support to the College of Education.
Administrative Support to the Dean:
- Serve as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums.
- Support the Dean by scheduling meetings, writing memos, developing marketing materials, creating presentations, taking and properly storing COE meeting minutes.
- Ensure organizational effectiveness by providing administrative support to the College of Education University President >
Interim Provost >
Dean, College of Education (organizational chart attached for the College of Education). - Support the onboarding of new faculty, staff, and student workers (facilitate requests for keys, office, classroom, computer, phone, etc.).
- Create an agenda and facilitate monthly meetings with COE Administrative Support Staff for the purpose of coordinating the work of administrative support staff in the College of Education.
- Create work orders for upkeep of offices, laboratories – Schedules logistics and secures resources for meetings, conferences, travel, and other work unit operations.
- Oversee the fiscal management of all College of Education accounts payable, accounts receivable, preparation of income and expense statements, operational and projected budgets, processing payment vouchers, requesting purchase orders, monitoring expenses and preparing financial reports.
- Process requisitions, PO, etc. from grants with Dean as PO and/or fiscal officer, when requested.
- Partner with the University’s Marketing & Communication department to:
Promote initiatives and programs in the College of Education-Curate and produce print and e-newsletters, press releases, bios and briefing materials, web/podcasts and other platforms to convey strong and effective messages. - Provide editorial guidance to faculty and staff to maintain consistency in view and voice for program websites.
- Supervise student workers and interns Other duties assigned by the Dean of Education.
Must establish Illinois residency within 180 calendar days of the start date
- Bachelor’s degree in business administration, management, or a field related to the position.
- Two (2) years of professional business, financial, and/or managerial work experience.
( NOTE : A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.) - Based on position requirements, additional education, training, and/or work experience in an area of specialization inherent to the position may be required.
