Office Administrator/ Coordinator
About the Role
The Americas Institutional Group is seeking an Executive Assistant to support the Head of the Chicago Office, the Associate Director of AIG, and other managers. This role provides dedicated assistance to the client team, works closely with other assistants in the group, and reports directly to the Office Administrator for the Chicago Office. The position is based in Chicago, Illinois, and requires self‑motivation and collaboration in a small office environment.
Responsibilities- Proactive calendar management in Outlook for managers
- Coordinate meetings between managers and institutional clients to facilitate portfolio reviews and new business discussions, including sending meeting requests, booking conference rooms, adding visitors to security, and ordering catering
- Maintain contact information and meeting activity in Salesforce
- Prepare meeting materials and distribute them to participants
- Coordinate travel arrangements with the travel agency, including transportation and hotel bookings
- Support a variety of department and team projects
- Process expense reimbursements in Workday
- Cover email diligently for the office
- Perform ad hoc administrative tasks within the Chicago office
- Undergraduate degree
- 3‑5 years of administrative experience
- Strong interpersonal, verbal, and written communication skills
- Strong service orientation; reliable, consistent, proactive
- Ability to work in a fast‑paced, team‑oriented environment and prioritize effectively
- Attention to detail and proficiency with Microsoft Outlook, Excel, and Word
- Solid work ethic and positive attitude
- Ability to use good business judgment and maintain confidentiality
The base salary range for this position is USD 60,000 – 110,000. The total compensation package may include a discretionary corporate bonus and/or incentives, if eligible. All employees are eligible to receive salary, variable compensation, and benefits. Additional compensation details will be shared with candidates during the recruitment process.
