Description

We are looking for an Executive Assistant to provide high-level administrative support in Chicago, Illinois. This Long-term Contract position is ideal for someone who excels at keeping schedules organized, coordinating complex travel plans, and ensuring executive priorities stay on track. The role requires strong attention to detail, sound judgment, and the ability to manage multiple responsibilities in a fast-paced environment.

+ Support executive leadership with coordination and tracking of key initiatives, action items, and cross-functional projects

+ Assist with preparation and coordination of board materials, executive communications, and confidential business documentation

+ Help drive follow-through on executive priorities by coordinating meetings, deliverables, and stakeholder communication

+ Provide administrative and operational support for strategic initiatives and special projects as needed

+ Anticipate executive and organizational needs, proactively identifying gaps, risks, or scheduling conflicts before they arise

+ Demonstrated ability to operate effectively in a dynamic, fast-paced environment with evolving priorities and limited structure

+ Strong problem-solving skills with the ability to exercise independent judgment and discretion

+ High level of professionalism and emotional intelligence when interacting with executives, board members, partners, and employees

+ Experience supporting confidential executive or board-level communications preferred

+ Strong coordination and organizational skills with the ability to manage multiple concurrent tasks and deadlines

Requirements

+ Associate's or Bachelor's degree in Business Administration, Communications, Office Management, or a related field preferred

+ 5+ years of experience supporting executives, office operations, or corporate administration in a professional environment

+ Experience supporting executive leadership within engineering, manufacturing, technology, or industrial organizations

+ Familiarity with office facilities management

+

Experience with collaboration and project management tools such as Teams, SharePoint, or similar platforms

+ Experience managing calendars, travel coordination, and scheduling across multiple stakeholders and time zones

+ Demonstrated ability to manage multiple priorities with strong attention to detail and follow-through

+ Excellent written and verbal communication skills

+ Strong organizational, scheduling, and coordination capabilities

+ Proficiency with Microsoft Office Suite, including PowerPoint, Excel, Outlook, and Word

+ Experience preparing executive-level presentations and business documents

+ Ability to exercise sound judgment, professionalism, and discretion with confidential information

+ Self-motivated and capable of working independently in a fast-paced environment

+ Minimum requirement for all positions is a high school diploma or GED

+ Must have effective verbal, reading, and written communication skills in the English language
