Executive Assistant
Our client, a prominent Chicago-based firm, is seeking an exceptional Executive Assistant to serve as a trusted right-hand to a member of their C-suite. This is an exciting, high-visibility opportunity to work closely with senior leadership and play an integral role in a fast-paced, dynamic organization. The ideal candidate is sharp, proactive, and highly organized, with excellent judgment and a natural ability to stay ahead of priorities, anticipate needs, and keep a busy executive operating seamlessly.
Responsibilities:
- Manage complex, ever-shifting calendars and meeting logistics, often across multiple time zones
- Coordinate detailed domestic and international travel, including itineraries and contingency planning
- Draft, edit, and manage correspondence, board materials, presentations, and internal communications
- Prepare and reconcile expense reports; support light budget tracking and vendor coordination
- Serve as a key liaison between the executive and board members, senior leadership, clients, and external partners
- Anticipate scheduling conflicts and shifting priorities, and adjust plans proactively
- Coordinate logistics for offsites, board meetings, and executive-level events
- Manage projects and follow up on action items on the executive's behalf
- Exercise sound judgment and discretion with highly confidential business and personal information
Qualifications:
- 5+ years of experience as an Executive Assistant, ideally supporting C-suite or senior leadership
- Demonstrated experience managing complex calendars and travel for a senior executive
- Exceptional written and verbal communication skills, with strong attention to tone and detail
- High proficiency in Microsoft Office (Outlook, PowerPoint, Excel) and calendar/scheduling tools
- Experience supporting board-level or executive-level meetings a plus
- Strong project management instincts and the ability to juggle multiple priorities without dropping details
- Ability to work independently, exercise sound judgment, and anticipate needs before they're voiced
- A steady, professional presence under pressure
- Comfortable working onsite in Chicago
