Executive Assistant
Our client is looking for an experienced Executive Assistant to support a C-Suite Executive within a fast-paced financial services environment. This role is ideal for a highly organized, detail-oriented individual who can manage competing priorities, communicate with polish, and keep day-to-day operations running smoothly. The successful candidate will bring strong judgment, excellent administrative skills, and the ability to handle sensitive matters with discretion and urgency.
This is a hybrid position (3 days on-site, 2 days' work remote). This position offers a salary of $140,000-$160,000 (DOE) + health, vision, dental insurance, strong 401K match, PTO and more.
Responsibilities:
- Oversee a demanding executive calendar, coordinating appointments, leadership meetings, and events across multiple time zones while adjusting priorities as business needs change.
- Arrange domestic and international travel, prepare detailed itineraries, and support conference and meeting logistics to ensure seamless execution.
- Anticipate executive and team needs by identifying potential issues early, resolving routine matters independently, and escalating more complex concerns when needed.
- Prepare, revise, and proofread correspondence, presentations, and other business materials to ensure accuracy and alignment with organizational standards.
- Support senior leaders with special projects, collaborating across departments to gather information, track progress, and meet deadlines.
- Attend meetings and business sessions as needed, capture clear notes, and distribute relevant follow-up information to stakeholders.
- Assist with administrative processes such as performance review coordination, cost center updates, time entry submission, and resolution of payroll-related timekeeping questions.
- Maintain organized records, official documents, and filing systems so information is accurate, accessible, and up to date.
- Provide guidance or informal training to team members on administrative procedures and timekeeping practices when required.
