The Registrar is a full-time, on-site role based at Malcolm X College in Chicago, IL, responsible for managing and maintaining student academic records and registration processes. Day-to-day tasks include overseeing course registration, adding and dropping classes, and ensuring accurate recording of grades, transcripts, and degree completion. The Registrar coordinates term scheduling, maintains the academic calendar, and applies college policies related to enrollment, residency, and academic standing.
This role collaborates closely with departments such as Admissions, Financial Aid, Academic Affairs, and Student Services to support students through the enrollment and completion process. The Registrar also ensures compliance with relevant regulations and accreditation standards, safeguards confidential data, and helps develop and refine procedures that improve efficiency and service quality.
- Experience with student information systems, records management, and database administration in a higher education environment.
- Strong organizational, analytical, and problem-solving skills, with attention to accuracy and detail.
- Knowledge of FERPA and other regulations governing student privacy and academic records.
- Ability to communicate clearly and professionally with students, faculty, staff, and external stakeholders.
- Demonstrated commitment to equity, inclusion, and serving a diverse student population.
- Proficiency in office productivity software (such as word processing, spreadsheets, and email) and comfort learning new technology tools.
- Ability to manage multiple priorities, meet deadlines, and adapt to changing institutional needs.
- Associate or bachelor’s degree in education, administration, business, or a related field; prior registrar or enrollment services experience is preferred.
