Office Administrator/ Coordinator, Business Administration, Finance Assistant
APS & Associates seeks a highly organized, detail-oriented Operations & Finance Coordinator to support the firm's day-to-day operations and internal administration. Reporting directly to the Executive Vice President, this role serves as a central point of coordination across operations, finance, political fundraising, and office management. The ideal candidate thrives in a fast-paced environment, enjoys building systems and keeping projects organized, and can effectively manage multiple priorities with accuracy and professionalism.
This position works closely with staff across the firm and provides essential support to ensure both internal operations and client services run efficiently.
- Support the Executive Vice President with day-to-day operational management and special projects
- Coordinate administrative and operational needs across client accounts
- Assist with project tracking, timelines, and internal workflows
- Coordinate meetings, maintain internal documentation, and provide general administrative support
- Assist with company expense tracking, reimbursements, and invoice tracking
- Coordinate vendor payments, maintain financial records, and support month-end administrative processes
- Ensure accurate documentation and organization of financial files
- Maintain client finance trackers, fundraising reports, and donor databases
- Support call-time preparation, contribution tracking, acknowledgments, and compliance-related administrative tasks
- Conduct current and prospective donor research for political and nonprofit clients
- Manage inventory and purchasing for office supplies and equipment
- Serve as the primary liaison with building management regarding maintenance, repairs, and office needs
- Coordinate office logistics and ensure a well-functioning workplace environment
- 1-3 years of experience in operations, finance, administration, political fundraising, or a related field
- Exceptional organizational skills with strong attention to detail
- Experience managing spreadsheets, budgets, reports, and financial tracking
- Ability to manage multiple priorities independently while maintaining accuracy and discretion
