A global financial services firm is seeking a polished, resourceful Administrative Assistant for its downtown Chicago office. You'll support senior leaders and fellow staff by managing calendars, meetings, travel, and daily operations.
What You’ll Do
- Support multiple senior leaders
; flexible to cover other teams as needed - Manage multi-time-zone calendars and meeting requests (phone/virtual)
- Coordinate meetings : book rooms, arrange catering, register guests, prep materials
- Field high call volumes and take accurate messages
- Handle general office tasks: filing, scanning, mailing, time entry
- Book domestic/international travel (including visas) and process expenses and invoices
- Maintain strict confidentiality with sensitive information
- Shift priorities and pitch in on ad hoc projects.
- Follow compliance procedures and obtain approvals
- Support the broader team in delivering strong client service
- 3–5 years of experience as an administrative or executive assistant in a fast-paced professional setting (corporate, government, or private sector preferred)
- Strong collaboration skills and comfort working with both local and remote colleagues
- Ability to stay calm and organized under pressure while managing multiple priorities
- Excellent written and verbal communication skills , positive, team-oriented attitude
- Sharp attention to detail and strong organizational instincts
- Sound judgment, discretion, and professionalism
- High integrity, professionalism, and tact
- Solid skills in Word, Excel, PowerPoint, Outlook, and Zoom
- Familiarity with expense-reporting software (SAP Concur)
- Direct exposure to a top-tier global financial services environment
- Structured onboarding with clearly defined expectations from day one
- A strong stepping stone for continued growth on an administrative career track
