As a Site Operations Coordinator at JLL, you'll provide essential administrative and operational support to the site management team, serving as a vital connector between vendors, clients, and internal stakeholders. This role centers on ensuring smooth delivery of day-to-day operations through meticulous coordination, clear communication, and organized documentation practices. You'll support the operational rhythm of the site by managing vendor schedules, maintaining accurate records, and helping drive performance tracking initiatives.

your day-to-day will look like:
- Schedule and coordinate vendor activities and site inspections, ensuring timely service delivery and minimal disruption to daily operations
- Maintain accurate records of vendor interactions, service requests, and site activities using operational tracking systems
- Assist in the preparation of reports on site operations and vendor performance that provide visibility into service effectiveness
- Respond to routine inquiries from staff, vendors, and clients with professionalism and a customer-focused approach
- Support the implementation of site procedures and protocols, helping to maintain consistency and operational excellence
- Organize and maintain site documentation and operational manuals, ensuring information remains current and accessible
- Coordinate site meetings and help prepare relevant materials that facilitate effective communication and decision-making
- HS diploma or GED
- 1-2 years of experience in an administrative or operational support role
- Strong organizational skills and attention to detail with ability to manage multiple tasks simultaneously
- Proficiency in Microsoft Office suite, particularly Excel and Outlook
- Excellent written and verbal communication skills with customer service orientation
- Ability to prioritize tasks and manage time effectively in a dynamic environment
- Basic understanding of customer service principles and professional workplace interactions
- Experience in a facilities management or property management environment
- Familiarity with vendor management concepts and coordination practices
- Basic knowledge of building operations and maintenance activities
- Experience with data entry and database management systems
- Understanding of health and safety practices in workplace settings
- Exposure to scheduling and coordination software or computerized maintenance management systems (CMMS)
Schedule: M-F 8am-5pm
Location: Chicago,IL
