Position Description

The Executive Assistant provides high-level administrative and strategic support to senior leadership. This role serves as a trusted partner, helping ensure smooth day-to-day operations and enabling leadership to focus on strategic priorities. Reporting to the Senior Vice President of Business Development and the Senior Vice President, Quantum, this individual serves as a trusted partner, helping ensure smooth day-to-day operations and enabling leadership to focus on strategic priorities.

The ideal candidate has exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Core Responsibilities
  • Manage complex calendars, emails, and schedule meetings, travel, and logistics
  • Serve as a primary point of contact for internal and external stakeholders
  • Prepare, review, and organize correspondence, expense reports, presentations, and briefing materials
  • Track priorities, deadlines, and follow-ups on behalf of the executives
  • Coordinate meetings, including agendas, materials, minutes, follow-ups and action items
  • Handle confidential and sensitive information with discretion and professionalism
  • Support special projects, events, and cross-functional initiatives as needed
  • Support after events activities such as importing business cards into CRM and handling general follow-ups
  • Improve administrative processes and workflows for efficiency
  • Anticipate executive needs and proactively address issues
Qualifications and Experience
  • Bachelor’s degree or equivalent experience preferred but not required
  • Two years of experience supporting senior-level executives
  • Strong written and verbal communication skills
  • Exceptional organizational, time management, and problem-solving abilities
  • High level of professionalism, discretion, and emotional intelligence
  • Proficiency in Microsoft Office and Customer Relationship Management Tools (preferred)
  • Ability to work independently and manage competing priorities
  • Effective problem-solving and analytical skills to address complex challenges
  • Experience working with external partners and government entities a plus
