Manager, Proposal Services

The Manager, Proposal Services is responsible for supporting research activity by providing supervision and training oversight to the RSO Research Grants Specialist team and the institution at‑large while providing proposal support as needed. This position supports the Associate Director by disseminating job critical information and resources, developing and implementing training programs, proposing process improvements to enhance efficiencies, promoting collaboration with cross‑functional teams, and facilitating proposal review and submission.

The Manager will also maintain a moderate proposal workload for select faculty or divisions.

Responsibilities

Directly supervise the Research Grants Specialist team with authority to hire, separate, promote, demote, write, and administer performance evaluations.

Develop onboarding materials and training documentation to address knowledge gaps and encourage employee growth and development.

Plan the professional development needs for the Research Grants Specialist team.

Actively monitor and distribute workloads across the team, ensuring adequate support during high‑volume proposal submission periods including NIH cycle deadlines.

Manage a discrete load of PIs or grants based on complexity.

Review organizational training needs for various constituents (Faculty, Staff, other RA Teams) and develop and conduct training as identified.

Share knowledge and expertise on interpretation of Federal, State and Institutional policies, procedures and guidelines with OSP Proposal Services team and faculty.

Ensure final pre‑submission compliance checklists and standards for all federal and state grant proposals; train team members in compliance review and review proposals for error‑free submission to funding agencies.

Identify and promote efficiencies through grant management tools including the electronic research administration software system and Docu Sign.

Develop and ensure efficient processes exist for proposal development, submission review, and processing across partner teams and between grants team members and PIs.

Prepare and disseminate reports as requested by Director, Manne Research Institute leadership, and faculty.

Execute special projects as requested by the Director.

Perform other job functions as assigned.

Knowledge,

Skills and Abilities

Minimum of a bachelor’s degree and 5 years of progressive experience in Research Administration and Sponsored Programs or 9 years of relevant experience.
Extensive knowledge of Uniform Guidance, NIH Grant Policy Statement and other federal regulations.
Experience with Grants.gov and other federal systems.
CRA, CPRA, or CFRA certification preferred, or willingness to obtain a certification exam.
Demonstrated mentoring and training skills for varied audiences, from faculty to research administrators.
Strong interpersonal skills for leadership of team personnel and interaction with physicians, PIs, and other medical center personnel.
Ability to establish priorities and respond to many requests and needs.
Proficiency in Microsoft Office and related software tools; experience training and using electronic research administration systems is preferred.

Pay & Benefits

Pay Range: $83,200.00–$ (salary).
