General Summary
Under general supervision of the Executive Vice President/COO and the Vice President - Nursing, the Administrative Assistant provides high-level administrative support by handling information requests, performing clerical functions such as preparing correspondence, arranging conference calls, and scheduling meetings. In the performance of these duties, the Administrative Assistant maintains strict confidentiality of all information and exhibits through his/her work the values consistent with the mission of Insight Hospital & Medical Center.
Responsibilities- Types all correspondence, answers and screens all calls.
- Maintains scheduled meetings, makes travel arrangements, registers Vice President for seminars, etc.
- Maintains and updates physician contracts, malpractice insurance, and reimbursement for physicians for seminars, insurance, etc.
- Assists in follow-up on overdue reports and maintains files for the department.
- Interprets departmental and divisional policies and procedures.
- Coordinates agenda and material for Executive Team meetings and Insight Management Team. Responsible for coordinating and sending out the Strategic Planning Committee of the Board.
- Maintains daily census report and daily staffing for the department and is also responsible for payroll for direct reports to the COO, Vice President of Nursing, and CFO.
- Collects physician time sheets and reports hours to payroll.
- Maintains executives’ schedules as well as department schedules.
- Schedules visitors for Grand Beach House, receives checks, ensures keys are returned, takes repair orders and relays them to Engineering when repairs are needed. Takes checks to cashier and maintains receipts and calendar.
- Provides coverage for the Administration Assistant and performs duties for the CEO and Vice President of Nursing.
- Works with the Director of Ambulatory Services in sending out leases to physicians and follows up on their return.
- Provides other duties as assigned.

- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Word, Excel, PowerPoint, and Outlook.
- Professionalism and confidentiality.
