Alongside the practice, our physician-founder is expanding a growing professional platform that includes national speaking engagements, consulting, industry partnerships, community initiatives, and philanthropic work.

We're looking for an exceptional Business Operations Manager to become the operational engine behind that growth.

This is not a traditional office manager or executive assistant role. It's an opportunity for someone who enjoys solving problems, building systems, driving accountability, and helping an entrepreneur transform vision into execution.

For the right person, this role offers a unique opportunity to grow into a Chief of Staff or senior operations leadership position as the organization continues to expand.

About the Role

As our Business Operations Manager, you'll oversee the day-to-day operations of our practice while serving as the physician-owner's trusted operational partner across multiple business initiatives.

You'll ensure the practice operates with excellence while helping execute strategic projects that support the continued growth of both the medical practice and the physician's professional platform.

This role requires someone who is equally comfortable rolling up their sleeves to solve operational challenges as they are thinking strategically about how to improve processes, increase efficiency, and support long-term growth.

No two days will look exactly alike, and that's exactly how you like it.

What You'll Own Practice Operations
  • Lead the day-to-day operational performance of the practice.
  • Create an exceptional patient experience through efficient workflows and outstanding service.
  • Partner with clinical and administrative team members to improve communication and operational effectiveness.
  • Manage vendor relationships, inventory, office supplies, and facility operations.
  • Coordinate scheduling processes and help ensure seamless daily operations.
  • Monitor key operational priorities and proactively resolve issues before they impact the practice.
Strategic Projects & Business Growth
  • Drive strategic initiatives from planning through execution.
  • Coordinate speaking engagements, consulting projects, community initiatives, and professional partnerships.
  • Research opportunities, gather information, and prepare recommendations to support business decisions.
  • Manage cross-functional projects and ensure priorities continue moving forward.
  • Build systems that support future growth and scalability.
Executive Partnership
  • Serve as a trusted operational partner to the physician-owner.
  • Manage executive priorities, calendars, meetings, travel, and strategic planning support.
  • Prepare agendas, action plans, and follow-up items that keep important initiatives on track.
  • Anticipate needs, remove obstacles, and create capacity for the physician-owner to focus on patient care, leadership, and business growth.
  • Exercise sound judgment in determining when to act independently and when to seek guidance.
Process Improvement
  • Develop and maintain standard operating procedures.
  • Create dashboards, trackers, and systems that improve visibility and accountability.
  • Identify inefficiencies and recommend practical solutions.
  • Continuously improve operational processes as the organization grows.
Success in This Role

Within your first 12 months:

  • Practice operations run smoothly with minimal oversight.
  • Patients experience exceptional service at every touchpoint.
  • Strategic initiatives consistently move from ideas to execution.
  • Systems replace recurring manual work and operational bottlenecks.
  • The physician-owner has greater capacity to focus on patient care, speaking engagements, business development, and long-term strategy.
