The Associate Specialist – Cargo Events supports the day‑to‑day coordination and administration of internal and external commercial Cargo events. The role completes assigned logistical, financial, and administrative tasks using established processes, timelines, and guidelines. The coordinator works with internal teams to gather information, maintain event materials and records, and elevate issues or decisions to Cargo Marketing Manager.
- Support the coordination and execution of internal and external commercial events, including sales meetings, regional customer events, conferences, and industry trade shows. Complete assigned event logistics such as venue and catering coordination, travel support, agendas, meeting materials, registration, and attendee communications using established plans and guidelines.
- Maintain event calendars, project trackers, registration lists, attendee records, and event documentation. Coordinate meeting schedules and travel arrangements, maintain event supply inventory, and assist in placing approved orders for designated teams.
- Provide on‑site and virtual event support, including setup, registration, materials distribution, and coordination with vendors. Address routine questions and logistical issues and elevate items requiring approval or additional direction to the event lead or manager.
- Complete routine financial administration for events by reviewing invoices and purchase orders.
- Provide routine status updates, follow up on assigned action items, and support sponsorship fulfillment and other event‑related administrative requests. Share process issues or improvement suggestions with Cargo Marketing Manager for review.
Note: This is a Chicago‑based hybrid role with in‑office requirements 50% of the time. This role will also travel up to 40% of the time.
Qualifications What’s needed to succeed (Minimum Qualifications):- Bachelor’s degree in Business Administration, Marketing, Communications, Hospitality Management, Event Management, or related field OR equivalent experience
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and Power Point
- Basic knowledge of event coordination and administrative processes
- Strong attention to detail and organizational skills
- Clear written and verbal communication skills
- Demonstrated ability of having a customer‑focused approach
- Must be legally authorized to work in the United States for any employer without sponsorship
- Successful completion of interview required to meet job qualification
- Reliable, punctual attendance is an essential function of the position
- 1+ years of experience supporting corporate or customer events
- Experience with event registration or event technology systems
- Experience working with hotels, venues, or production vendors
- Experience with Cvent, Event Air, or similar event management tools
- Knowledge of corporate events, procurement, or invoice‑processing procedures
