Post-Sales Operations & Implementation Coordinator, also known as Order-to-Install (OTI Coordinator)
Green Office Partner, ranked the #1 Best Place to Work by Crain’s & 26) and the Chicago Sun-Times (2024 & 2025), is seeking a highly organized, detail-oriented Post-Sales Operations & Implementation Coordinator (OTI Coordinator) to manage the critical transition from a signed customer agreement through installation readiness and final project closeout.
We deliver HP and Xerox Managed Print Services, Intelligent Document Processing, and Conference Room/Audio-Video Solutions that help enterprises reduce costs, increase efficiency, and modernize their workplaces.
The OTI Coordinator serves as the operational connection between Sales, Purchasing, Finance, Project Management, and Client Success, ensuring every new customer order is accurate, properly staged, internally aligned, and ready for successful implementation.
This role owns the post-signature coordination process—including order verification, system setup, internal kickoff meetings, client onboarding coordination, milestone tracking, and final Delivery & Acceptance documentation.
The ideal candidate enjoys bringing structure to complex processes, coordinating multiple departments, communicating directly with clients, and making sure nothing falls through the cracks.
Key Responsibilities- Order Staging: Review signed agreements for accurate equipment, leasing, billing, and customer information.
- System Setup: Coordinate post-sale customer setup and updates across CRM, ERP, and monitoring systems.
- Internal Coordination: Lead the internal handoff meeting with Project Management, Purchasing, Finance, and Client Success.
- Client Onboarding: Co-lead the customer kickoff, confirm scope and site requirements, and transition installation to the Project Manager.
- Project Tracking: Monitor key milestones and help resolve outstanding operational items throughout implementation.
- Project Closeout: Secure signed Delivery & Acceptance (D&A) documentation and submit completed packages to Finance.
- Lease Returns: Coordinate final payments, LOIs, timing, and documentation for equipment returns when applicable.
- 2–4 years of experience in order management, sales operations, project coordination, customer onboarding, or a similar operational role
. - Experience working with CRM, ERP, order-management, or related business systems.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple customer projects and deadlines simultaneously.
- Strong cross-functional communication skills with the ability to coordinate effectively between Sales, Finance, Operations, Purchasing, and Project Management.
- Professional client-facing communication skills and confidence participating in customer onboarding meetings.
- Ability to identify missing information, resolve operational issues, and proactively move projects forward.
- Comfortable working in a process-driven environment where documentation accuracy and timely follow-through are critical.
Success in this role means that when a customer signs an agreement, the transition into implementation feels organized, professional, and seamless
