Salary: The rate of pay for this position is $27.94 per hour.
Position Summary:
Reporting directly to the Patient Care Director, NICU Unit, the Extra Help Customer Service Representative will perform intermediate level customer service functions under general supervision within their unit. This includes greeting patients, answering/routing telephone calls, ordering supplies and other administrative/customer service duties. This position will float between Pediatrics, Pediatrics ICU, and Neonatal ICU units.
Duties & Responsibilities:
- Greets patients and staff and assists them as needed.
- Answer door and buzz staff into unit.
- Answers telephone, screens and routes them to appropriate parties (using telephone paging system if necessary) efficiently.
- Greets and screens all staff, visitors and guests who enter the locked units of 5W Pediatrics and PICU.
- Take messages for unit personnel and routes to appropriate parties.
- Promotes the appropriate use of unit telephones including IP Phones.
- Respect the confidentiality of hospital medical records and other patient related information.
- Conduct assessments of customer service needs and make arrangements to ensure needs are met.
- Distributes information related to departmental activities, policies, and other material to affected areas/departments.
- Provides customer service orientation/training to staff as requested.
- Operates tubing system to retrieve and/or deliver information and or materials from one Unit within the Hospital to another.
- Types letters, memos, and other correspondence as required.
- Order and distribute supplies.
- Participates in departmental and/or interdepartmental performance improvement teams.
- Schedules, appointments, consults and other follow-up care for patients.
- Make periodic checks of medical, clerical, and other equipment on the unit to ensure that they are in proper operating condition. Make prompt report of necessary repair need through proper channels.
- Assists with the admission, transfer, and discharge of the patients. Completes and routes required forms as well as communicates necessary information to the patient about to be admitted, transferred or discharged.
- Communicates daily shift activities between customer service representatives and charge nurse.
- Responsible for knowing the manual procedures to be taken in the event of computer system breakdown.
- Performs other related duties as assigned.
- Perform other related duties and participate in special projects as assigned.
Minimum Qualifications:
- High school diploma or equivalent.
- Any one or combination totaling three (3) years (36 months) from the following categories:
- College coursework in business administration, communications, public relations or a closely related field as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate’s Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor’s degree (120 semester hours) equals three (3) years (36 months)
- Responsible work experience in customer services, public relations, office administration, business and financial operations, healthcare administration or other closely related experience.
Preferred Qualifications:
- Inpatient Hospital Receptionist or Customer Service Representative experience preferred.
- Knowledge of principles and processes for providing customer and personal services.
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Knowledge of clerical and office procedures and systems such as word processing, spreadsheet software, managing files and records, designing forms, and managing inventory.
- Skill in understanding written sentences and paragraphs in work related documents.
- Skill in managing one’s own time and the time of others.
- Ability to communicate information and ideas in speaking so others will understand.
- Ability to listen to and understand information and ideas presented through spoken words and sentences.
