Position Overview

We are seeking a compassionate, detail-oriented Medical Customer Service Agent to provide customer support to patients who rely on essential medical supplies.

In this role, you will assist patients with monthly medical supply refills, order processing, returns and exchanges, account updates, and general customer support. You will also work closely with healthcare providers, care coordinators, assisted living facilities, and internal teams to ensure orders are processed accurately and efficiently.

The ideal candidate is comfortable working in a fast-paced, voice-based customer service environment and understands the importance of accuracy, confidentiality, empathy, and professionalism when supporting patients.

Key Responsibilities
  • Assist patients with monthly medical supply refill orders.
  • Provide professional, compassionate, and efficient customer support.
  • Process returns and exchanges according to established procedures.
  • Receive and prioritize order information from care coordinators and assisted living facilities.
  • Accurately enter and update patient order information and account records.
  • Review, verify, organize, and correct information before entering it into the system.
  • Maintain accurate and up-to-date records to prevent processing delays and backlogs.
  • Follow established procedures for order processing, documentation, and customer support.
  • Communicate and collaborate with internal teams using company communication tools, including Yammer.
  • Protect patient information and maintain confidentiality at all times.
  • Escalate issues or concerns to the appropriate team when necessary.
  • Meet established productivity, quality, attendance, and customer service expectations.
Required Qualifications
  • Previous call center or customer service experience required.
  • Medical, healthcare, or insurance experience preferred.
  • Strong verbal and written communication skills.
  • Typing speed of 35–40 WPM or higher.
  • Strong attention to detail and accuracy.
  • Ability to multitask and manage multiple customer requests efficiently.
  • Ability to work independently while also collaborating effectively with a team.
  • Strong organizational and time-management skills.
  • Ability to handle sensitive and confidential information professionally.
  • Comfortable working in a voice-based customer service environment.
Core Competencies Customer Service & Empathy

Ability to communicate professionally and compassionately with patients, understand their needs, and provide clear assistance regarding refills, orders, returns, and exchanges.

Data Entry Accuracy & Attention to Detail

Ability to accurately enter, review, verify, and correct patient and order information while maintaining complete and up-to-date records.

Healthcare & Medical Supply Knowledge

Ability to learn and understand medical supply terminology, refill processes, healthcare-related procedures, and patient privacy requirements. Previous medical or insurance experience is preferred.

Ability to manage monthly refill orders, prioritize requests from care coordinators and assisted living facilities, and ensure orders are processed efficiently to prevent backlogs.

Multitasking & Time Management

Ability to manage phone calls, customer requests, data entry, order updates, and internal communications while maintaining productivity and quality standards.

Ability to communicate clearly and professionally with patients, care coordinators, assisted living facilities, and internal teams while working effectively in a collaborative environment.
