POSITION SUMMARY

The position of Enrollment Services Specialist plays a pivotal role in shaping the educational journey of undergraduate students at the Chicago Pilsen Campus. This position will coordinate the day-to-day operation of the enrollment services unit and provide front-line service for financial aid, records and registration, and student accounting information in a one-stop shop format, ensuring that financial resources are accessible to those who need them most.

This position offers an opportunity to significantly impact students' educational experiences through dedicated guidance and support.

DUTIES AND RESPONSIBILITIES
  • Evaluate financial aid applications, complete verification processes, and address any issues with C flags for undergraduate students.
  • Develop financial aid packages for undergraduate students.
  • Provide financial aid guidance to students and families through in-person and virtual meetings, as well as phone calls in English and in Spanish when needed.
  • Answer phones, direct calls, and schedule appointments as needed.
  • Assist in processing student loan applications, including following up on incomplete submissions and advising on necessary steps to complete their application.
  • Process registrations, drops/adds, and withdrawals for students who need assistance at the Chicago Pilsen Campus.
  • Process transcript requests, produce paper transcripts, monitor requests for electronic transcripts, and fulfill orders.
  • Process all incoming and outgoing mail, including mailing/emailing all student communications, with the ability to read, translate, and write in English and Spanish.
  • Work collaboratively with the Business Office, Stars Connect, and other offices to assist students who may have an account hold and help develop pathways to resolve the hold.
  • Act as the first level of review with billing concerns of the third-party billing servicer.
  • Manage daily processing of student payments and other cash/check payments.
  • Enter all documents received into the computer system.
  • Participate in university events such as open houses, information sessions, and orientations as needed, including presenting to groups in English and Spanish.
  • Complete tasks independently on a daily basis.
  • Performs other duties as requested or assigned by supervisor.
MINIMUM QUALIFICATIONS/REQUIREMENTS PREFERRED QUALIFICATIONS
  • Experience with Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.)
  • Prior experience working in an enrollment management office, such as financial aid, records and registration, or student accounts
  • Experience working with Jenzabar and/or Power Faids
PHYSICAL DEMANDS
  • Ability to spend long durations of the workday moving around, sitting at a desk, and working on a computer
  • Ability to lift up to 15 pounds at times
