Job Summary
The Election Judge Unit - Township Coordinator reports directly to the Judges Unit Supervisor and is responsible for the election day assignments of election judges for assigned Cook County suburban townships for each election cycle. The person holding this position also manages the student judge program which involves coordinating the participation of high school and college students who wish to serve as election judges.
The position maintains all contact with election judges and township committee people to ensure that each precinct is assigned a full complement of election judges and other poll workers as necessary for election day and for any nursing homes that are participating in nursing home voting the Friday before election day. The position will ensure that all assigned election judges have taken the required training to serve as judges, and that the election judges assigned meet all the necessary requirements of each precinct, such as the correct number of judges representing each party, as well as language assistance judges, and student judges.
The position will maintain contact with township committee people as needed and will be responsive to their requests in a timely manner. This position will also be the main point of contact for high school and college administrators and students regarding serving on election day, training, assigning and submitting student consent forms, as well as frequently reminding students of any tasks required to serve.
During different parts of the election cycle, the individuals holding this position will assist with data entry and quality control of the Judges Unit, including recounts, voter registration, candidate filing and records examinations.
Essential Job Duties
- Assigns election judges for election day and participating nursing homes.
- Assures the assigned suburban townships are staffed with trained election judges.
- Communicates with assigned township committee people and election judges via phone and email.
- Works with township committee people and other community groups to recruit election judges.
- Keeps township committee people updated with assignment status of election judges.
- Maintains internal database of trained and active township election judge(s) for their assigned townships.
- Confers with Judges Unit Supervisor and/or Judges Unit Manager regarding timelines and outstanding assignments for assigned townships.
- Responds to correspondence from election judges and registered voters.
- Reports any system problems to the Information Technology Division for resolution.
- Addresses issues such as scheduling assignments and serving as point of contact for any pay issues related to election judges working in their assigned townships.
- On election days, ensures that all precincts have necessary personnel to manage and conduct election.
- Attends election judge recruitment events and training events for assigned townships as directed by Judges Unit Supervisor.
- Performs additional election work supporting the additional election units of voter registration, records examinations, petition challenge, recount, election judge training, mail voting and election equipment preparation.
- Performs data entry and quality control tasks in between elections including voter registration events and information pertaining to petition challenges.
Minimum Qualifications
- Possession of a High School Diploma or a General Education Development (G.E.D.) certificate.
- Two (2) years of experience performing elections related work.
- Proficient with Microsoft Word and Excel
