Join UChicago Medicine, as a Patient Service Coordinator in the OR Administration Department – Hyde Park. This department supports seamless surgical and patient care operations, ensuring coordination across multidisciplinary teams to deliver exceptional patient-centered care. This position is a 100% onsite opportunity. You will need to be based in the greater Chicagoland area. In this role as a Patient Service Coordinator, you will be responsible for supporting patients, families, physicians, nurses, and care teams through the coordination of admissions, transfers, discharges, scheduling, documentation, and daily unit operations.
You will serve as a central communication hub within the department, ensuring accurate data entry, smooth workflow processes, and a welcoming environment for patients and visitors. Our staffing model requires flexibility to rotate shifts and cross-cover units as needed.
- Greets patients and visitors, facilitates admissions, obtains required documentation, and distributes patient information materials.
- Coordinates patient admissions, transfers, and discharges, including accurate data entry in ADT and hospital computer systems.
- Schedules follow-up appointments, diagnostic tests, procedures, and ancillary services as directed by physicians or nursing staff.
- Maintains real‑time awareness of bed status and reconciles bed activity each shift.
- Transcribes physician orders and ensures accurate processing of medical documentation.
- Maintains and organizes patient medical records in accordance with hospital policies and confidentiality standards.
- Answers and triages phone calls, pages, and patient intercom requests promptly and professionally.
- Coordinates transportation requests and communicates readiness with multidisciplinary care teams.
- Maintains census reports and assists with charge entry and variance tracking.
- Manages unit supplies and inventory, ensures proper stocking levels, and coordinates equipment orders.
- Supports quality improvement initiatives and assists in data collection efforts.
- Cross‑covers multiple patient care units as needed and maintains an organized, clean work environment.
- Follows all organizational and unit‑specific safety, security, and infection control policies.
- High School diploma or equivalent
- Minimum two (2) years of general office experience
- Typing speed of 35 WPM or greater
- Strong computer data entry and word processing skills
- Effective written and verbal communication skills
- Ability to handle multiple priorities in a fast‑paced healthcare environment
- Strong interpersonal skills and ability to maintain professionalism under stress
- Associate‑level business coursework
- Medical terminology coursework
- Experience with hospital systems or electronic health records
- Prior experience in a healthcare or hospital setting
