Position Summary

This role's primary function is receptionist duties for all staff, patients and visitors to the Rehabilitation Services Department. Responsibilities include general reception tasks, scheduling, monitoring patient flow, processing authorization for treatment with third‑party payers, and maintaining a clean and safe environment.

Duties & Responsibilities
  • Schedule patients using the EHR Scheduling System and manage work queues
  • Verify insurance for eligibility and authorization status
  • Contact insurance companies and case managers to obtain authorization for treatment, providing necessary documentation
  • Document insurance authorization status in EHR and communicate with clinical staff
  • Maintain a proactive understanding of changing insurance requirements
  • Educate team about insurance requirements
  • Act as liaison for inter‑department communication regarding insurance
  • Complete cover sheets and create paperwork packets for new evaluations
  • Manage patient flow through registration or visit notification in the Patient Registration System, registering patients in the EHR Scheduling System and monitoring wait times
  • Validate patients' parking tickets
  • Collect patient financial liability and Fitness Center membership payments, processing deposits
  • Manage consent and release of information forms; witness signatures and send completed forms to the HIM Department
  • Perform charge release; identify issues with charge entry or missing notes, alert team members, and follow through to resolution
  • Answer the telephone for all staff in the PT/OT Department and take appropriate action, including taking messages or providing information, scheduling or rescheduling patients
  • Respond to patient and department inquiries
  • Complete additional clerical tasks such as distributing mail, photocopying, filing, faxing, tubing, and data entry
  • Complete additional departmental tasks such as maintaining patient care and waiting areas and preparing the workspace for the next day
  • Share expertise and participate in the development of process improvement initiatives within the department and organization
  • Assist with orientation of new staff via mentoring
  • Other related duties as assigned
  • Alternative productivity expectations may be determined within this classification based on fluctuating department needs
  • Perform other related duties and participate in special projects as assigned
Minimum Qualifications
  • High school diploma or equivalent.
  • Any one or any combination totaling one (1) year (12 months) from the categories below:
  • Work experience comparable to that performed at the Medical Office Assistant level or other positions of comparable responsibility.
  • Work experience in a health care facility such as a doctor's, dentist's, or hospital's office; involving record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.
  • Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.
  • Preferred Qualifications
    • Prefer at least 1 year experience in outpatient OT/PT setting
    • Prefer Spanish‑speaking
    • Prefer experience with Epic EHR
    • Clinic hours are Monday - Friday 8:00 a.m.

      - 6:30 p.m., Saturday 8:00 a.m.

      - 12:00 p.m.
