Health Information Operations Supervisor

The Health Information Operations Supervisor is responsible for client/customer service and serves as a knowledge expert for the HIS staff. The role focuses on front line people management and training, as well as ensuring processes are completed in compliance with established guidelines. This role may also assist leadership with planning, developing, and implementing departmental or regional projects. The role provides support to Health Information Operations Manager.

The Supervisor will maintain workflow and productivity of HIS's, handle escalated situations, drive a positive work environment, assist in the new hire process, meet with clients, and develop staff at multiple sites.

Position Highlights
  • Full Time:
    Monday-Friday 8 am to 4:30 pm CST
  • Hybrid and travel-intensive leadership role requiring regular on‑site presence across multiple supported locations in Chicago and Elmhurst, Illinois
  • Oversee on‑site and hybrid associates
  • Lead daily workforce operations, ensuring adequate staffing coverage and maintaining high levels of productivity and service delivery
  • Manage team schedules, PTO coverage, approve and monitor timecards
  • Coaching, performance management, employee engagement, attendance and ensure compliance with company policies
  • Track and drive key performance indicators (KPIs), analyze operational performance, meet with clients to discuss service delivery and operational needs, and serve as the primary point of escalation for team and client concerns
  • Coordinate resources across teams to maintain seamless operations and achieve business objectives

Responsibilities
  • Receive and process requests for patient health information in accordance with Company and facility policies and procedures
  • Maintain confidentiality and security with all privileged information
  • Maintain working knowledge of Company and facility software
  • Adhere to the Company’s and Customer facilities Code of Conduct and policies
  • Inform manager of work, site difficulties, and/or fluctuating volumes
  • Assist with additional work duties or responsibilities as required
  • Consistent application of medical privacy regulations to guard against unauthorized disclosure
  • Manage patient health records, safeguard them and ensure HIPAA compliance
  • Prepare new patient charts, gather documents and information from paper sources and/or electronic health record
  • Ensure medical records are assembled in standard order and are accurate and complete
  • Create digital images of paperwork to be stored in the electronic medical record
  • Respond to requests for patient records, both within the facility and by external sources, retrieving them and transmitting them appropriately
  • Answer inbound and outbound calls
  • Assist with patient walk‑ins, administrative duties such as handling faxes, opening mail, and data entry
  • Meet productivity expectations as outlined at specific site
  • Schedule pick‑ups as needed
