Overview
The Medical Receptionist serves as the first point of contact for patients, visitors, and providers within the pulmonary practice. This role is responsible for delivering exceptional customer service while managing front-office operations, scheduling appointments, verifying insurance information, maintaining patient records, and supporting the clinical team to ensure an efficient patient experience.
Responsibilities- Greet patients and visitors in a professional, friendly, and compassionate manner.
- Answer and direct incoming phone calls, take messages, and respond to patient inquiries.
- Schedule, reschedule, and confirm appointments for pulmonary consultations, follow-up visits, pulmonary function testing (PFT), sleep studies, imaging, and other diagnostic services.
- Register patients and verify demographic, insurance, and contact information.
- Collect copayments, balances, and required patient forms.
- Verify insurance eligibility and obtain prior authorizations as needed.
- Maintain accurate patient records within the electronic health record (EHR) system.
- Scan, upload, and manage patient documents and correspondence.
- Coordinate referrals and communicate with primary care providers, specialists, hospitals, and diagnostic facilities.
- Assist patients with appointment preparation instructions and office policies.
- Monitor provider schedules and assist with workflow adjustments as needed.
- Maintain patient confidentiality and comply with HIPAA regulations.
- Support administrative projects and other duties as assigned.
- High school diploma or equivalent required.
- Minimum one year of medical receptionist, medical office, or healthcare customer service experience preferred.
- Experience with electronic health records (EHR) and medical scheduling systems preferred.
- Knowledge of medical terminology and insurance verification processes preferred.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to multitask, prioritize responsibilities, and work in a fast-paced environment.
- Proficient in Microsoft Office and basic computer applications.
