We are a long-established Ocularist practice that provides custom ocular prosthetics for patients across Chicagoland. Our two practice locations are located in Downtown Chicago & Westchester, IL. We're a small, dedicated team, and our front office is the first thing every patient experiences.

We are seeking a dynamic and detail-oriented Front Office Patient Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while managing a variety of administrative support duties. Your approach will ensure smooth clinic operations, accurate documentation, and positive patient experiences. The ideal candidate will possess strong health insurance-related administrative skills, proficiency with electronic health record (EHR) systems, and excellent communication abilities to thrive in a fast-paced healthcare environment.

Responsibilities
  • Greet patients warmly, verify insurance coverage, and coordinate appointment scheduling using our EHR
  • Manage patient check-in and check-out processes efficiently while maintaining confidentiality in compliance with HIPAA regulations.
  • Verify insurance benefits, process payments, and handle collections related to medical billing and co-pays.
  • Review and update patient records accurately to ensure all documentation is complete and compliant for effective claim submissions
  • Assist with intake procedures, medical records filing, and maintaining organized office files while supporting front desk operations.
  • Provide excellent patient service by answering inquiries via phone or in person with professionalism and courtesy; demonstrate strong phone etiquette and typing skills.
  • Support clinical staff by preparing and assisting with insurance verification processes for Medicare, Medicaid or other commercial payers.
Qualifications
  • Proven experience in a medical office setting, dental clinic, or hospital environment with familiarity in clinic management and medical administrative support.
  • Strong knowledge of insurance terminology, ICD coding, CPT coding, and medical billing procedures.
  • Experience working with EMR/EHR systems such as DrChrono, Epic, Meditech, Athenahealth, eClinical

    Works or Eaglesoft is highly preferred.
  • Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and familiarity with office equipment like multi-line phones and 10-key typing.
  • Ability to handle sensitive patient information following HIPAA guidelines with integrity and discretion.
  • Bilingual skills are a plus to enhance communication with diverse patient populations.
  • Strong organizational skills with attention to detail for documentation review and insurance verification tasks.
