Location:

Andersonville and Loop locations (Chicago, IL)

This position supports operations at both office locations. The ideal candidate should be comfortable commuting between sites as needed.

Office Schedule & Coverage

The practice operates six days per week (Monday-Saturday), and this role will provide approximately 35-40 hours of coverage per week
.

Preferred Location Split
  • Approximately 2-3 days per week in the Loop location
  • Remaining hours in the Andersonville location
  • Schedule flexibility may be available based on candidate availability
  • Overall, the position will maintain a relatively even split between both locations, with slightly more time spent in the Loop office
Position Overview

The Patient Care Coordinator serves as the first point of contact for patients and plays a critical role in creating a positive patient experience. This position is responsible for managing patient communications, scheduling appointments, maintaining accurate records, coordinating care, and supporting daily office operations. The ideal candidate is professional, organized, customer-focused, and able to thrive in a fast-paced healthcare environment.

Responsibilities Scheduling
  • Manage daily appointment schedules using electronic health record (EHR) software.
  • Schedule annual vision exams, medical visits, follow-up appointments, treatments, and specialty services.
  • Coordinate provider schedules, including meetings, time off, and schedule adjustments.
  • Verify and update patient information within the electronic health record system.
  • Review patient records, medical history, and previous prescriptions as needed.
  • Distribute and collect electronic or paper intake forms.
  • Verify insurance coverage and upload supporting documentation into patient records.
  • Maintain a welcoming and professional reception area while addressing patient needs.
Appointment & Care Coordination
  • Facilitate patient check-in and check-out processes.
  • Collect copayments and process patient payments.
  • Schedule follow-up appointments according to provider recommendations.
  • Process retail product purchases and related transactions.
  • Coordinate follow-up care with external healthcare providers and specialists.
Insurance Administration
  • Ensure patient insurance information is accurate and up to date.
  • Verify insurance eligibility and benefits prior to appointments.
  • Assist with claims review and billing support activities.
  • Communicate with patients regarding insurance-related questions or concerns.
Patient Communications
  • Manage electronic patient forms and communication platforms.
  • Provide support for patient portal access and account management.
  • Answer incoming calls, route messages, and respond to patient inquiries.
  • Monitor email inboxes, text communication platforms, and fax correspondence.
  • Escalate patient requests and tasks to appropriate team members.
Office Operations
  • Maintain a clean, organized, and professional reception area.
  • Support overall office appearance and patient experience initiatives.
  • Monitor patient flow and communicate delays when necessary.
  • Manage inventory and stock levels for office and retail products.
Administrative Support
  • Assist clinical and administrative staff with day-to-day operational needs.
  • Support special projects, events, and community outreach initiatives.
  • Collaborate with team members to ensure consistent patient service and office coverage.
  • Perform additional duties as assigned to support practice operations.
Preferred Qualifications
  • Previous experience in a Patient Care Coordinator, Medical Receptionist, Front Desk Coordinator, Medical Office Assistant, or Healthcare Customer Service role.
  • Experience working with electronic health record (EHR) systems.
  • Insurance verification and benefits administration experience.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Ability to provide exceptional customer service in a healthcare setting.
  • Proficiency with Microsoft Office and healthcare software applications.
  • Ability to work collaboratively in a team-oriented environment.
