The Recruiting Coordinator will be responsible for the overall candidate experience. Responsible for logistics that support the recruiting process, including scheduling phone, Microsoft Teams and on-site interviews, escorting on-site candidates, and responding to any questions candidates may have in order to provide a “best in class” experience for the candidate.
Responsibilities- Lead the scheduling processes for candidates and interviewers for both phone screens and virtual/on-site interviews. Communicate with candidate; coordinate travel arrangements; coordinate interview room reservations; prepare written materials, including interview schedules; submit candidate expense reimbursement forms and serve as a resource for candidate logistical questions/issues. Greet candidates upon arrival. Order any catering as needed.
- Manage job openings in the applicant tracking system (ATS) and other online sources, assist recruiters with dispositioning candidates, audit requisitions, build email templates, check disclosure questions, monitor background checks, post/un-post roles and initiate employee-referral bonus payments.
- Schedule job kick off and candidate feedback sessions; participate with Recruiter if requested.
- Relay any necessary next steps/final candidate feedback to third party staffing firms, as needed.
- Process all background checks through designated vendor and internal Compliance business unit;
If necessary, manage pre/post-adverse action process. - Send appropriate onboarding notifications regarding upcoming new hires.
- Maintain job board site/University Career Services master login information as well as serve as point of contact for third party agency needs.
- Maintain contact with recruiting team throughout the hiring process and assist with any logistical needs.
- Manage and reply to inbound candidate inquiries.
- Build reports.
- Ad hoc projects as assigned.
- Additional responsibilities, as requested.
- Knowledge of applicant tracking systems and reporting capabilities. Experience with Workday and Greenhouse a plus.
- Familiarity with Linked In Recruiter and First Advantage preferred.
- Proficiency in Microsoft Office products.
- Ability to quickly understand recruiting process, practices and environment.
- High level of confidentiality and integrity; proven team player.
- Willingness to adapt to change.
- Possess excellent written and verbal communication skills.
- Ability to interface effectively with managers and candidates.
- Attention to detail.
- Understanding of staffing operating procedures, guidelines and legal requirements as they apply to Compliance in employment practices and applicant tracking.
- Working knowledge of Federal, State and local labor laws.
- Strong ability to handle confidential information with discretion and maturity.
- Possesses a proactive approach to accomplishing work, executes consistent follow-up, and demonstrates the flexibility to meet changing business needs.
- Strong organizational skills, detail-oriented, and ability to prioritize workload independently; strong problem-solving skills.
- Ability to present ideas and programs in front of small and large groups.
A reasonable estimate of the current base salary range at time of posting is below. Base salary does not include other forms of compensation or benefits. Actual base salary within the specified range is based on several factors, including but not limited to applicant's skills, prior relevant experience, specific degrees and certifications, job responsibilities, market considerations and, if applicable, the location of the position.
This role is eligible for either a discretionary annual bonus (based on company, business unit and individual performance) and/or commission-based incentives.
