Part Time Human Resources Onboarding Coordinator
Under the general direction of the Human Resources Generalist, and according to established Firm policies and procedures, the Human Resources Onboarding Coordinator is responsible for coordinating and supporting the onboarding, integration, transition, and offboarding experience for attorneys and business professionals across the Firm. This role serves as the primary point of contact for new hires and departing employees.
This position will work closely with Recruiting, IT, Office Services, Payroll, Professional Development, and Practice Management.
The HR Onboarding Coordinator maintains professionalism and strict confidentiality in all client and Firm matters.
The HR Onboarding Coordinator is located in the Chicago office. This is a part time position requiring 20 to 25 working hours per week. Onsite presence is required on Tuesdays.

Onboarding & Integration- Coordinate and manage all aspects of the onboarding process for newly hired attorneys and business professionals, ensuring a seamless transition into the Firm from offer acceptance through orientation and integration.
- Review and track required pre-employment documentation, including offer letters, background screenings, employment authorization requirements, and other onboarding materials. Provide administrative support for state-specific onboarding and employment law compliance requirements, including California wage and hour requirements for non-exempt employees. Initiate and monitor employment eligibility verification by distributing I-9 instructions to new hires. Enter new hires into the Firm's Human Resource Information System (“HRIS”), as well as serve as the primary point of contact among Human Resources, Talent Management, Recruiting, Payroll, IT, Office Services, and hiring managers to facilitate all onboarding logistics.
Coordinate office assignments, telephone numbers, building access, technology and equipment requests, and other employment-related needs. - Prepare and distribute onboarding schedules, coordinate orientation-related calendar invitations, prepare orientation materials, draft welcome communications, coordinate the delivery of new hire welcome gifts, and distribute benefits enrollment information.
- Ensure all new hire documentation, including tax withholding forms, direct deposit authorizations, and other required new hire paperwork is completed accurately and timely. Upload onboarding documentation to employee personnel files and process associated personnel changes in the HRIS.
