Role Overview

Own day-to-day administration, stability, and continuous improvement of Vest Gen’s Salesforce Financial Services Cloud (FSC) org. This role partners closely with Operations, Advisors, Client Service, Growth/BD, Compliance, and Technology to ensure Salesforce is reliable, secure, usable, and integrated into the broader Vest Gen ecosystem.

Responsibilities Platform Ownership & Administration
  • Administer and enhance the Salesforce FSC org (configuration, metadata, security, and user experience) to support core workflows across the firm.
  • Own user provisioning, role/profile/permission set strategy, license management, queue configuration, and ongoing access reviews.
  • Maintain FSC data model components (e.g., Households, Individuals, Relationships, Financial Accounts, Assets/Liabilities, Interactions/Activities) and ensure configuration aligns to firm standards.
  • Manage core admin functions:
    Lightning record pages, page layouts, fields, validation rules, flows, assignment rules, queues, approvals, email templates, reports/dashboards, and data-quality controls.
Release Management & Production Support
  • Lead Salesforce release readiness: evaluate seasonal releases, sandbox testing, documentation, and deployment planning.
  • Provide Tier 2/3 production support: troubleshoot issues, manage defects, coordinate with vendors/partners, and drive root-cause prevention.
  • Maintain system availability and business continuity planning for CRM operations (backups, contingency plans, and incident response coordination).
Business Process Enablement
  • Serve as a liaison between business teams and technical resources—translate business requirements into Salesforce configuration solutions.
  • Improve end-to-end processes for client onboarding, service requests, meeting/interaction tracking, advisor workflows, pipeline/BD, and operational task routing.
Data Quality, Governance, and Compliance
  • Champion data governance – required fields, standard definitions, deduping strategy, house holding/relationship integrity, auditability, and lifecycle management.
  • Partner with Compliance and Security to ensure controls for client data (PII), retention expectations, and appropriate monitoring/auditing.
  • Document admin procedures and configuration standards so changes are repeatable and supportable.
Integrations & Ecosystem Coordination

Coordinate integrations between Salesforce and key systems, partnering with internal engineering and vendors as needed:

  • Orion (accounts/registrations/households, service workflows, etc.)
  • eMoney (planning context, household financial picture where applicable)
  • Zocks (meeting notes/insights feeding CRM activities or summaries)
  • Snowflake (data feeds for analytics and reporting)
  • Support secure integration patterns (APIs, middleware/ETL, SFTP/file drops where applicable) and assist with issue triage and testing.
Training, Enablement & Adoption
  • Create and maintain training content, SOPs, and “how-to” documentation for end users.
  • Run periodic enablement sessions and office hours; improve adoption by reducing clicks, automating routine work, and standardizing workflows.
Required Qualifications
  • 4–7+ years of Salesforce administration experience (Lightning experience required; FSC preferred but not required).
  • Demonstrated experience managing security/access at scale (profiles, permission sets, sharing, roles, groups, queues).
  • Strong capability delivering solutions with declarative tools, especially Flow, validation rules, approval processes, and report/dashboard design.
  • Experience supporting production environments with disciplined change management (sandboxes, testing, deployments, documentation).
