We are seeking a highly organized, analytical, and process-driven Inventory & Vendor Operations Specialist to establish, optimize, and oversee inventory management practices across the organization. This role is responsible for ensuring inventory accuracy, strengthening supplier partnerships, improving operational workflows, and supporting data‑driven decision‑making.
The ideal candidate will play a critical role in maintaining efficient inventory operations, managing vendor relationships, identifying cost‑saving opportunities, and ensuring our clinics and patients have consistent access to high‑quality products and prescriptions at competitive prices.
Key Responsibilities Inventory Management & Operations- Develop, implement, and maintain inventory control processes, standard operating procedures (SOPs), and key performance indicators (KPIs).
- Monitor inventory levels, movement, utilization, and accuracy across multiple clinic locations and systems.
- Investigate, document, and resolve inventory discrepancies, shrinkage, and process variances.
- Support inventory forecasting, replenishment planning, cycle counts, and inventory audits.
- Ensure inventory practices align with company policies, operational standards, and industry best practices.
- Collaborate with cross‑functional teams to improve inventory visibility, efficiency, and scalability.
- Build, maintain, and strengthen relationships with vendors, suppliers, wholesalers, and pharmacy partners.
- Identify, evaluate, and onboard new vendors through due diligence and vendor qualification processes.
- Negotiate pricing, service agreements, lead times, and product availability to maximize value and operational efficiency.
- Monitor vendor performance and recommend improvements or alternative sourcing strategies when appropriate.
- Analyze inventory and purchasing data to identify trends, risks, and opportunities.
- Develop and maintain reporting dashboards and provide operational insights to leadership.
- Identify process improvement opportunities and implement scalable solutions that support organizational growth.
- Partner with Operations, Medical, Finance, and Compliance teams to optimize inventory workflows and purchasing strategies.
- 3+ years of experience in inventory management, supply chain, procurement, vendor management, or operations.
- Strong analytical, problem‑solving, and critical‑thinking skills.
- Experience developing, implementing, or improving operational processes.
- Ability to effectively manage vendor relationships and negotiate business terms.
- Experience with pharmacy sourcing, wholesaler relationships, healthcare operations, or regulated inventory environments.
- Proficiency with inventory management systems, Microsoft Excel, and data analysis tools.
- Strong organizational skills with exceptional attention to detail.
- Excellent written, verbal, and interpersonal communication skills.
- Experience conducting inventory audits and reconciliation activities.
- Knowledge of purchasing, procurement, and supply chain management principles.
- Familiarity with healthcare, pharmacy, or regulated inventory compliance requirements.
- Experience developing KPIs, dashboards, and operational reporting.
- Continuous improvement mindset with experience driving process optimization initiatives.
- Experience supporting multi‑site operations or distributed inventory environments.
