About the Role

The Sea freight Export Coordinator coordinates product shipments, ensuring that service commitments are achieved and maintained in accordance with client requirements and company objectives. The role serves as a liaison with customers, vendors, and government agencies for all sea freight export activities.

Compensation and Benefits

This position has a base compensation range of $29.00 to $32.00 per hour, plus health and welfare programs, a 401(k) retirement savings plan, tuition assistance opportunities, and incentive compensation for eligible positions.

Key Responsibilities
  • Handle shipment-level communication between Hellmann, customers, carriers, and vendors regarding delays, billing, new shipment requests, and shipping instructions.
  • Process shipments in compliance with company standard operating procedures and customer/regulatory requirements.
  • Perform credit checks before arranging transportation.
  • Place and process customer booking requests according to service level agreements and routing guides to maximize profitability.
  • Schedule bookings for recurring customers to secure truck and vessel capacity.
  • Dispatch Hellmann-arranged pickups and communicate necessary information for non-Hellmann pickups.
  • Submit insurance purchase requests upon request.
  • Secure required commercial and regulatory documentation and validate their accuracy.
  • Confirm that all addresses and contacts are entered and checked for DPS (Denied Party Screening).
  • Send shipping instructions to carriers before cut-off.
  • Verify and confirm any additional charges (e.g., driver waiting time, demurrage, detention).
  • Enter and update milestone tracking events for the area of responsibility.
  • Create Master Agent Settlement / Profit Share invoices.
  • Archive unscanned documentation and audit files for accuracy and completeness.
  • Communicate additional charges promptly to prevent disputed invoices.
  • Ensure shipments are transferred to destination offices and manage destination communication.
  • Escalate recurring carrier/vendor service issues to the supervisor.
  • Consult the supervisor before agreeing to non-standard services or pricing.
  • Develop and maintain customer standard operating procedures in collaboration with Account Management and Sales.
  • Identify client trends (volume changes) and escalate as necessary.
  • Maintain service relations with customers, carriers, and vendors.
  • Monitor customer profitability and coordinate with product and sales management to adjust quotes and pricing.
  • Perform other duties as assigned.
Qualifications
  • Associate’s Degree (A.A.) from a two‑year college or equivalent education and work experience.
  • High School Diploma or GED.
  • One to three years of experience in the freight forwarding industry preferred.
  • Completion of industry-related courses is an asset.
  • Organizational and time‑management skills.
  • Customer-focused mindset.
  • Adaptability to a high‑pressure environment.
  • Interpersonal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Email, and Internet.
  • Knowledge of world geography, shipping documentation, and Incoterms preferred.
  • Strong written and verbal English communication skills.
  • Ability to calculate freight rates, discounts, and percentages.
Physical Demands

  • Use of arms, hands, and fingers for computer and phone use.
  • Clear speaking and listening for heavy phone contact.
  • Close‑up and computer screen distance vision.
