Job Overview
The Sea freight Import Coordinator coordinates product shipments, ensuring service commitments are achieved and maintained in accordance with client requirements and company objectives. The employee serves as a liaison with customers, vendors, and government agencies in all sea freight import activities.

Essential Duties and Responsibilities- Responsible for all shipment-level communication between Hellmann and all customers, carriers, and vendors (e.g., delays, shipment status inquiries, arrival notices, billing).
- Escalate recurring carrier/vendor service issues to Supervisor.
- Maintain service relations with customers, carriers, vendors, and other Hellmann offices.
- Ensure compliance with all applicable internal and external SOPs and regulatory requirements.
- Consult with supervisor prior to agreeing to non‑standard services and/or pricing.
- Ensure customers are properly set up and maintained in company systems (e.g., POA, credit application, customer billing profiles).
- Develop and maintain customer standard operating procedures (CSOPs) with Account Management and Sales.
- Process shipments in compliance with company SOPs and customer/regulatory requirements (e.g., Hellmann policies, OBL, Letter of Credit, Certificate of Origin).
- Perform credit check prior to arranging transportation.
- Submit insurance purchase requests upon request.
- Verify and confirm any additional charges incurred (e.g., driver waiting time, demurrage, detention).
- Communicate additional charges promptly to the customer to prevent disputed invoices.
- Obtain/retrieve the arrival notice from the carrier.
- Create broker arrival notice and pass to HWL Trade Services or outside broker within KPI.
- Dispatch all Hellmann‑arranged deliveries or communicate necessary information to carrier/consignee for all non‑Hellmann‑arranged deliveries.
- Send customer arrival notice.
- Collaborate with Trade Services to arrange inspections when required.
- Ensure carrier and CFS are paid and have all required documentation to ensure timely availability/release of freight.
- Enter and update all required milestone tracking events within area of responsibility.
- Perform other duties as assigned.
This position does not supervise any direct reports.
Qualifications- Associate’s Degree from a two‑year college or equivalent work experience, or high school diploma/GED with additional work experience.
- One to three years of prior experience in the freight forwarding industry preferred.
- Completion of any industry‑related course is an asset.
- Strong organizational, time‑management, and prioritization skills.
- Customer‑focused attitude and adaptability to high‑pressure environments.
- Excellent interpersonal, written, and verbal communication skills in English.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), email, and internet.
- Knowledge of world geography, shipping documentation, and Incoterms preferred.
- Ability to calculate figures and amounts such as freight rates, discounts, and other percentages.
Frequently required to stand and walk; regularly required to sit for extended periods; use arms to reach, hands and fingers for computer and phone use; speak clearly and listen for heavy phone contact; requires close‑up and computer‑screen distance vision ability.
