Job Description

Position Summary:

Seeking a highly organized, detail‑oriented professional to provide project support across administrative functions, meeting coordination, documentation, and presentation preparation. This role ensures smooth project operations by managing day‑to‑day support activities, enabling project managers and technical leads to focus on project delivery.

  • Presentation & Document Preparation:
    Develop, format, and refine presentations, reports, and supporting materials for internal and external stakeholders.
  • Documentation Control:
    Lead the collection of Contract deliverables to meet WSP’s obligations. Work with discipline leads to provide clear, accurate, and compliant documentation.
  • Administrative Coordination:
    Support project teams and program leadership through scheduling, document management, correspondence, and general administrative tasks.
  • Meeting Management:
    Prepare agendas, capture meeting minutes, track action items, and coordinate follow‑up tasks to maintain project momentum.
  • Project Support

    Activities:

    Assist with project setup, tracking, and documentation; maintain shared resources; and ensure project records are accurate and up to date.
  • Team

    Collaboration:

    Work closely with project managers, technical staff, and clients to ensure clear communication and efficient workflow across all project stages.

Qualifications

Strategic thinker with business acumen and client service orientation.

Familiarity with Illinois DOTs, municipal and county agencies, and local business partners.
