The Principal Gifts Team Coordinator (Coordinator) reports to the Director of Principal Gifts and is a member of the Principal Gifts team, which reports to the Vice President of Development. The team works in close partnership with senior staff, volunteer leadership, and Development colleagues to cultivate Ultra High Net Worth (UHNW) individuals for transformational investments in Earthjustice and Earthjustice Action, raising approximately one‑third of Earthjustice’s contributed revenue annually.
The Coordinator supports the operational effectiveness and systems management of a high-performing team of six. This role is responsible for strengthening fundraising efficiency, accountability, and communication through project management, administrative support, and coordination of processes, tools, and resources.
The Coordinator provides administrative and project coordination support to the Director of Principal Gifts and plays a central role in fostering a healthy and inclusive team culture by supporting onboarding of new hires, internal communications, team gatherings and trainings. This position partners closely with the Director on planning processes, cross-team coordination, and continuous improvement initiatives.
This is a non‑supervisory position.
The Principal Gifts Team Coordinator is expected to work a full‑time (37.5 hours/week) schedule and may work hybrid or remote from the following locations:
New York City, Washington, D.C., Chicago, or Philadelphia preferred. (Other major East Coast U.S. cities and remote locations negotiable.) This position requires travel for events, planning meetings, and retreats. A valid U.S. driver’s license is preferred.
- Provide comprehensive administrative and project coordination support to the Director of Principal Gifts and team, including scheduling, travel and expense management, correspondence tracking, and coordination of internal and external requests.
- Manage and optimize team systems, resources, and documentation (including SharePoint, Teams, project management tools, processes and procedures) to enhance collaboration, efficiency, goal tracking – including tracking of quarterly and annual goals, and information sharing.
- Serve as a point of contact for internal and external requests and represent the team in cross‑departmental working groups; partner with other Development colleagues and cross‑functional stakeholders to refine data management practices and shared workflows.
- Coordinate onboarding and training logistics for new and current staff in partnership with HR, IT, and hiring managers.
- Support internal communications in partnership with team leads, including team‑wide updates, calendars, and monthly digest emails to ensure alignment and transparency.
- Plan and coordinate team meetings, retreats, trainings, and culture‑building activities with direction from the Director.
- Coordinate annual planning processes (strategic planning, metrics tracking, and budgeting) in partnership with the Director and team leadership.
- Develop project timelines, track deliverables, and support cross‑functional initiatives with internal stakeholders with guidance from the Director.
- Identify opportunities to improve processes and implement solutions to strengthen execution and outcomes.
