The Law Offices of Parente & Norem, P.C. is seeking a full time Operations Manager to coordinate and oversee our firm’s operations. We are a civil litigation firm concentrating in plaintiff’s personal injury, workers’ compensation, and medical malpractice/wrongful death claims.
This is a full-time in office position and hours are Monday through Friday from 8:30 am - 5:00 pm. Salary commensurate with experience. Various benefits are included. Ideal candidates will have excellent communication skills, are professional, proficient in business and finance principals, have strong customer service and organizational skills, are proficient with Microsoft Office products, possess an eagerness to learn new skills, and can operate independently while being dependable.
Additional responsibilities include, but are not limited to:
- Ensuring all operations are working in a professional and cost-effective manner
- Managing Vendor Relations - purchasing of supplies and negotiate contracts for miscellaneous goods and services
- Maintaining the data within company CRM (Smokeball) and shared networks
- Acting as first line of IT support for office staff, liaison with outsourced IT vendor
- Performing quality controls and ensure files are being handled properly, complete file opening and closing processes
- Communicating with clients to resolve any potential issues, scheduling in office meetings as needed
- Recruiting, training, and supervising staff - lead meetings and complete performance reviews
- Work cross functionally with accounting – processing checks, bank deposits, etc.
- Research, vet, and implement new technologies to improve efficiencies
- Monthly reporting of new clients, file counts and settlement funds - providing weekly and monthly detailed analysis to the owners
- Work cross functionally with marketing and outside advertising partners
- Upholding the company handbook and ensuring all policies are being adhered to
- Helping to resolve or address any internal issues with personnel
- Delegation of tasks and oversee distribution of labor
- Processing Payroll and managing HR policies including the creation of standard operational procedures (SOPs) and employee training manuals
- Handling client disbursements at resolution of matters
- Track and reconcile monthly credit card expenditures
- Manage, implement, and optimize best practices across all levels
- Miscellaneous projects and tasks as needed
Salary Range: $90,000. per year
