Position Summary

The Administrative Supervisor oversees the administrative functions that support the daily operations of the Health & Welfare Claims Processing Department, with a primary focus on workforce administration, attendance management, and operational support. This position oversees attendance tracking and compliance for bargaining unit employees, serves as the department's primary resource for attendance‑related policies and procedures, and partners with Human Resources and management to ensure consistent application of organizational and collective bargaining agreement requirements.

This role facilitates communication across internal departments to help ensure efficient and consistent service delivery.

Responsibilities
  • Manage daily attendance for Claims Processing Department bargaining unit employees, including monitoring the employee call‑in line, tracking time‑off requests, reviewing, editing, and approving employee timecards, monitoring work from office reporting, and updating attendance and payroll systems as needed.
  • Serve as the primary resource for attendance policy and timekeeping questions and act as the liaison with Human Resources and BU staff’s direct supervisor.
  • Monitor attendance and schedule adherence to ensure compliance with applicable policies and collective bargaining agreement provisions, and partner with management to coach and administer corrective action related to attendance issues.
  • Collaborate with department management to identify workforce optimization opportunities by developing, monitoring, and reporting on performance metrics and goals.
  • Serve as the primary point of contact for claims‑related inquiries from departments across the Fund, ensuring timely coordination, communication, and resolution.
  • Develop working knowledge of claims processing and provide supplemental claims processing support based on departmental workload and operational needs.
  • Provide operational support to Health & Welfare Claims Supervisors as needed, including assisting with claims processing and department workflow.
  • Participate in special projects, process improvement initiatives, including monthly quality assurance activities, annual audits, user acceptance testing and other assignments as directed by management based on departmental needs.
Qualifications
  • Bachelor's degree preferred.
  • Supervisory or team lead experience preferred.
  • Exceptional interpersonal and communication skills, with the ability to effectively engage with team members and cross‑functional partners.
