We are seeking an experienced Marketing Project Manager to join a dynamic marketing team and oversee a variety of marketing campaigns, initiatives, events, webinars, and tactical marketing requests. This person will serve as a key partner to marketing stakeholders, creative teams, and cross-functional partners, ensuring projects are well planned, properly scoped, and delivered on time.
The ideal candidate is a seasoned, highly organized marketing project manager who understands how marketing teams operate and can confidently manage both proactive campaigns and day-to-day marketing requests. Experience supporting live events and webinars is highly valued, as is the ability to anticipate project needs and proactively guide stakeholders through requirements they may not have considered.
This is not a role focused solely on responding to incoming requests. We are looking for someone who can think ahead, ask the right questions, identify potential gaps early, and proactively manage stakeholders and project teams to prevent issues before they occur.
Key Responsibilities Marketing Project & Campaign Management- Lead the full project lifecycle for marketing campaigns and initiatives, including scope, schedules, budgets, resources, deliverables, and outcomes.
- Develop project plans, briefs, timelines, task lists, and status reports to keep stakeholders aligned.
- Coordinate cross-functional teams across content, creative/design, advertising, digital, events, marketing automation, and web.
- Manage multiple projects and competing priorities simultaneously while maintaining quality and deadlines.
- Monitor project progress, identify risks or roadblocks, and proactively develop solutions.
- Review deliverables throughout the project lifecycle to ensure they align with campaign objectives and requirements.
- Support specific project work streams and tasks as needed to keep projects moving forward.
- Own and manage the team’s marketing request queue, serving as a central point of contact for incoming requests.
- Monitor and manage requests submitted through the team’s marketing request email/queue.
- Communicate directly with requestors to understand their needs and gather all necessary information before work begins.
- Ask the right questions around scope, timing, audience, deliverables, approvals, resources, and dependencies.
- Triage and prioritize requests based on urgency, business needs, available resources, and competing priorities.
- Translate tactical requests - such as event support, presentation materials, sell sheets, and other marketing needs - into organized, actionable projects.
- Ensure requests are properly documented and entered into Asana, with accurate tasks, timelines, owners, dependencies, and deliverables.
- Serve as a trusted project partner and primary point of contact for stakeholders across the organization.
- Communicate confidently with stakeholders at all levels and build strong, productive relationships.
- Proactively guide stakeholders through project requirements rather than simply waiting for requests to come in.
- Anticipate potential needs, gaps, and dependencies and address them early to prevent last-minute issues.
- Help stakeholders think through the full scope of their marketing initiatives and ensure appropriate resources and deliverables are planned upfront.
- Provide clear project updates, communicate changes or risks, and keep stakeholders informed throughout the process.
- Build consensus and maintain alignment among marketing teams, business partners, and external stakeholders.
- Support the planning and execution of live events, conferences, webinars, and other marketing experiences.
- Partner with stakeholders to identify all marketing and creative requirements associated with an event.
- Proactively ask questions around event participation, booth needs, presentations, signage, collateral, promotional materials, timelines, and other deliverables.
- Help ensure event-related creative and marketing needs are identified well in advance, avoiding last-minute requests and missed requirements.
- Coordinate event deliverables across internal teams and external partners while maintaining timelines and quality standards.
- Experience working closely with marketing teams on both in-person events and webinars is highly preferred.
