Development Assistant - Donor Operations
DEPARTMENT:

STATUS: Non-Exempt
GENERAL SUMMARY
The Development Assistant provides support for all donor-related activities. Key responsibilities include maintaining the donor management system; ensuring accurate and timely gift recording; acknowledgment and reporting; supporting the execution of fundraising and stewardship events; supporting select special development programs; and serving as an advocate for a culture of philanthropy that supports the best interests of the AC and our donors.
ESSENTIAL JOB FUNCTIONS
- Upholds the PETS Work Culture Agreement through Praise, Engagement, Trust, and Support.
- Accurately enter all donations, event revenue, and contributions including white mail, credit cards, EFTs, and in-kind gifts in Raiser's Edge in a timely manner;
- Work with the Manager of the Donor Operations and Accounting Department to maintain the integrity and accuracy of the database;
- Prepare and process appropriate donation acknowledgments/tax receipts for donations $250+ including tribute gifts;
- Prepare and process tribute gifts and send out tribute acknowledgement letters/cards in a timely manner;
- Coordinate and support the execution of select development programs including vehicle donations;
Amazon, Chewy, and Walmart wish lists; other donation drives; - Monitor, process and acknowledge gifts through online giving portals in a timely manner;
- Record, facilitate, process, and acknowledge in-kind donations;
- Support fundraising activities by providing reports and other metrics to inform data-driven decisions and the quarterly board report;
- Enters new records for prospects, event invitees, and other new constituent records as needed;
- Assists with the reconciliation of gifts with the Accounting Department at the end of each month as well as at the end of the fiscal and calendar years;
- Provide support as needed for major fundraising and donor stewardship events;
- Support the Mission Advancement team as needed for outreach opportunities;
- Monitor and respond to AC development emails and phone calls, and provide administrative support;
- Work on special projects or other assignments as needed;
- Cross-train on tasks and assignments of the Donor Operations Manager.
- Working knowledge of Raiser's Edge or other CRM software;
- Comfortable with phone communication and assisting constituents with donations;
- Serve as a positive and outgoing brand ambassador for the AC;
- Proficient with online office platforms and tools;
- Promote a collegial atmosphere within the organization, working cooperatively with all staff to raise the profile of the organization to meet the overall financial and advancement goals;
- Ability to interact courteously and respectfully with supervisors, fellow employees, donors, volunteers, and visitors;
- A sense of urgency and thoughtful communications;
- Ability to perform a variety of administrative support assignments requiring independent judgment and discretion;
- Ability to troubleshoot technical challenges within CRM and other databases and seek efficient solutions and efficient processes;
- Ability to organize tasks and time to ensure timely completion of all projects;
- Ability to understand and carry out oral and written directions;
- A positive attitude and interest in the work and mission of the AC;
- A love of animals.
- Bachelor's degree preferred.
- Minimum of 3 years of experience in a related job discipline.
A comparable combination of education, experience, or training that would provide the level of knowledge, skills, and ability required may qualify an individual;
- Experience working in a complex and responsible administrative support role in a fast-paced office environment;
- Great attention to detail and proof-reading ability;
- Knowledge of CRMs preferred; working knowledge of Raiser's Edge and NXT a plus.
- Comfortable handling and working around shelter animals;
- Ability to work at a computer for long periods of time;
- Ability to sit or stand 2+ hours at a time for donor and community engagement opportunities.
- Available to work an extended schedule, including weekends, early mornings, evenings, and holidays according to the demands of the role.
