The Development Coordinator plays a vital role in supporting Tapestry 360 Health's fundraising operations by ensuring the accuracy, integrity, and efficiency of the organization's donor database, gift processing, and fundraising systems. This position is responsible for maintaining donor records, processing and acknowledging charitable gifts, reconciling contributions with Finance, producing fundraising reports and analytics, managing online giving platforms, supporting grant reporting, and coordinating the operational aspects of fundraising events and campaigns.
The ideal candidate is highly organized, detail-oriented, analytical, and passionate about using data and technology to strengthen donor engagement and advance the organization's mission.
Essential Responsibilities Donor Database & Development Operations- Serve as the primary administrator for Donor Perfect, Safe Save, and other fundraising systems.
- Maintain accurate donor, gift, pledge, grant, and constituent records while ensuring data integrity through regular audits and quality control.
- Develop and maintain database policies, procedures, and documentation to promote consistent data management.
- Create custom reports, dashboards, donor lists, mailing lists, and data queries to support fundraising activities, grant reporting, leadership, and Board reporting.
- Process all charitable contributions, including online gifts, checks, stock gifts, matching gifts, grants, and pledges.
- Generate timely gift acknowledgments, tax receipts, and donor recognition communications.
- Reconcile gifts and deposits with the Finance Department, prepare reconciliation reports, resolve discrepancies, and maintain accurate records of restricted and unrestricted funds.
- Produce weekly, monthly, quarterly, and annual fundraising reports and dashboards.
- Track fundraising performance, campaign results, donor trends, and key metrics, including LYBUNT/SYBUNT reporting.
- Support grant reporting and annual fundraising summaries by providing accurate fundraising data and analysis.
- Manage online donation platforms and giving forms, ensuring a seamless donor experience.
- Create and maintain online donation pages for campaigns, events, and special appeals.
- Monitor online gifts, troubleshoot platform issues with vendors, and support staff giving, peer-to-peer and third-party fundraising initiatives.
- Coordinate the operational and administrative aspects of fundraising events, including the annual gala, golf outing, and third-party events.
- Process sponsor ships, registrations, auction payments, and event gifts.
- Secure auction items and maintain procurement records.
- Manage event registration systems, attendee databases, guest lists, seating assignments, name badges, donor recognition materials, and post-event reporting and reconciliation.
- Maintain electronic fundraising files and documentation.
- Support donor stewardship, direct mail campaigns, and donor communications.
- Update and maintain the donor pages on Tapestry 360 Health's website.
- Participate in departmental planning and perform other duties as assigned.
- Bachelor's degree in nonprofit management, business administration, communications, finance, or a related field preferred.
- Two to four years of nonprofit fundraising, development operations, or donor database administration experience preferred.
- Experience with donor CRM systems such as Donor Perfect, Safe Save, and Auction & Event Solutions (AES).
- Experience processing charitable gifts, performing financial reconciliations, and supporting fundraising events.
